POSITION: Property Administrator

LOCATION: Barrie, Ontario, Canada (Park Place)

JOB SUMMARY: Reporting to the Property Manager, primary responsibilities for this role include assisting and supporting the Property Manager with a large commercial retail property.

This is an onsite (5 days per week) position.

RESPONSIBILITIES:

Provide administrative support to Property Manager.
Maintain accurate property, tenant, lease and vendor information within Yardi and other company systems.
Assist with tenant correspondence, notices, communications and general inquiries.
Coordinate tenant service requests and follow up with Property Manager, operations personnel and vendors as required.
Assist with the preparation and administration of service contracts, purchase orders, proposals and vendor documentation.
Maintain and monitor tenant and vendor insurance certificates and other required documentation.
Assist with lease administration, including reviewing lease information and maintaining accurate tenant records.
Assist with monthly reporting, rent rolls, accounts receivable reports and other property-level reporting.
Support annual budgeting and forecasting processes through information gathering, documentation and data entry.
Assist with property inspections, deficiency tracking and follow-up documentation where required.
Maintain organized electronic property files and ensure documentation is current and readily accessible.
Assist with tenant move-ins, move-outs, renewals and other tenant-related administrative requirements.
Coordinate with Accounting, Leasing, Construction and other internal departments as required.

QUALIFICATIONS:

1-2 years’ experience as a Property Administrator or a minimum of at least 3 years of solid administrative experience
Ability to communicate effectively and professionally, both oral and written with owners, tenants, and team members.
Ability to develop and sustain cooperative working relationships.
Professional and self-motivated team player.
Ability to exercise confidentiality.
Strong time management skills including the ability to work under pressure and achieve quality results.
Results oriented, detail oriented and accurate.
Solid Computer Skills including intermediate to advanced skills in MS Word, Excel, Microsoft Office and Outlook.
Knowledge of JD Edwards an asset.
Knowledge of Yardi.
