Position Summary

Reporting to the Workday HCM Manager, the Workday HCM Functional Analyst is responsible for supporting, configuring, enhancing, and optimizing Workday Human Capital Management (HCM) solutions that enable Human Resources, Information Technology, and business leaders to effectively manage the employee lifecycle.

Working closely with all HR and business stakeholders, the Functional Analyst analyzes business requirements, designs and configures Workday solutions, and ensures system functionality aligns with organizational policies, legislative requirements, and Workday best practices. The role provides subject matter expertise across multiple HCM functional areas while driving process standardization, operational efficiency, and continuous improvement.

The incumbent provides day-to-day production support, investigates and resolves complex functional issues, configures and updates business processes, develops reports and calculated fields, supports Workday releases and enhancement projects, performs testing activities, and partners with stakeholders to improve the employee and manager experience through effective use of Workday.

Key Responsibilities

Functional Configuration, Support & System Administration

Provide functional support for Workday HCM modules by troubleshooting system issues, resolving production incidents, and maintaining system configuration.
Configure and maintain Workday HCM business processes, including approvals, condition rules, routing, notifications, validations, eligibility rules, and workflow automation.
Configure and support Workday HCM modules including Core HCM, Compensation, Benefits, Absence, Recruiting, Talent & Performance, Learning, Time Tracking, Payroll, Help, and other HCM functional areas.
Create and maintain organizational structures, supervisory organizations, positions, job profiles, staffing models, organizations, and worker data to support organizational and legislative requirements.
Develop and maintain Workday calculated fields, condition rules, validations, and business process configurations to support HR policies and operational requirements.
Investigate and resolve complex system issues through root cause analysis while ensuring configuration aligns with Workday best practices and business needs.
Collaborate with Payroll, Finance, Information Technology, Security, and Integration teams to resolve cross-functional system issues.
Participate in Workday feature releases, tenant updates, and enhancement activities by evaluating new functionality, assessing impacts, and implementing approved changes.

Business Analysis & HR Process Improvement

Partner with Human Resources Operation Teams, Labour Relations, and business stakeholders to understand operational needs and identify opportunities to improve HR processes.
Facilitate business requirement gathering sessions, workflow analysis, and solution design discussions.
Analyze current-state and future-state HR business processes and recommend system improvements that enhance efficiency, compliance, and user experience.
Translate business requirements into scalable Workday solutions that align with organizational policies, collective agreements, and Workday best practices.
Prepare functional specifications, configuration documentation, process maps, user procedures, and knowledge articles.
Participate in governance discussions by evaluating enhancement requests and recommending prioritized solutions based on business value and system sustainability.

Reporting, Data Integrity & Compliance

Develop, maintain, and support Workday HCM reports, dashboards, and calculated fields to support operational reporting and strategic decision-making.
Support stakeholders with workforce reporting, data analysis, and ad hoc reporting requests.
Monitor data integrity and perform data validation activities to ensure the accuracy and consistency of employee information across Workday.
Support internal and external audit requirements by providing data validation, reconciliation, and documentation.
Assist with legislative, regulatory, and organizational compliance requirements through effective system configuration and reporting.

Testing, Releases & Continuous Improvement

Coordinate and execute unit testing, integration testing, regression testing, and User Acceptance Testing (UAT) for configuration changes, enhancements, and Workday releases.
Develop and maintain test plans, test scripts, and testing documentation.
Validate system changes to ensure business requirements are met without negatively impacting existing functionality.
Support implementation projects, enhancement initiatives, and post-production stabilization activities.
Identify opportunities to automate manual processes and improve operational efficiency through Workday functionality.

Stakeholder Partnership, Training & Change Management

Provide functional guidance and support to Human Resources, managers, and employees on Workday HCM functionality and business processes.
Develop and deliver user training, system documentation, job aids, and knowledge transfer sessions.
Partner with business stakeholders to promote adoption of new functionality and best practices.
Support organizational change management activities related to Workday enhancements, process improvements, and system implementations.
Build strong collaborative relationships with internal stakeholders, implementation partners, and vendors to support ongoing optimization of the Workday platform.

Workday Governance & Solution Design

Participate in the evaluation, prioritization, and implementation of Workday enhancement requests.
Recommend scalable configuration solutions that align with Workday's delivered functionality and long-term system sustainability.
Ensure configuration changes comply with organizational standards, security requirements, audit controls, and Workday best practices.
Stay current on Workday releases, emerging functionality, and industry best practices to proactively identify opportunities for continuous improvement.

Skills & Abilities

Strong knowledge of Human Resources business processes and the employee lifecycle.

Ability to gather business requirements and translate them into effective Workday solutions.
Experience configuring and supporting Workday HCM functionality.

Qualifications

Diploma or degree in Human Resources, Business Administration, Information Systems, Computer Science, or a related field.
Equivalent combinations of education and experience may be considered.
PMP, CBAP, or related certifications are considered an asset.
Minimum five (5) years of experience supporting Workday Human Capital Management (HCM) or similar enterprise Human Resources Information Systems (HRIS).
Experience configuring and supporting Workday HCM functionality, business processes, and security.
Experience gathering business requirements, analyzing business processes, and translating requirements into functional system solutions.
Experience supporting HR operations, ERP implementations, or enterprise system support environments.
Experience working in higher education, the public sector, or other large, complex organizations is considered an asset.
