About the role

The Data Administrator - Nch’ú7mut is the operational backbone of contract lifecycle management and data integrity for the Nch'ú7mut Contracting Ltd. (Nch'ú7mut) Team. This role reports to the Manager, Business Performance, and is responsible for administering contracts end-to-end - drafting, tracking, and maintaining agreements - while also owning the data quality behind Nch'ú7mut's reporting, dashboards, and NetSuite records.

This position suits someone who is precise, system-minded, and comfortable working independently while checking in daily with the team. Strong contract administration instincts, sharp attention to detail, and genuine data/analytical curiosity (comfort in Excel, structured data entry, and reporting tools) are equally important. A background in contract administration, business, or finance is preferred, along with familiarity with Indigenous peoples and communities.

Key accountabilities

Contract Management (Core Function)

Assist with drafting, administering, and tracking Non-Disclosure Agreements, Teaming Agreements, and Vendor/Member contracts; send and monitor e-signature requests.

Track legal agreement terms, renewal cycles, and expiration dates; redraft or amend contracts as needed.

Track contract amendments, custom templates, and version control.

Maintain the digital contract repository in SharePoint, ensuring all agreements are correctly linked and cross-referenced in NetSuite.
Track active contracts against reporting deadlines and follow up with members/vendors to ensure timely submission.

Data & Reporting

Ensure data entry accuracy and structure across contract, financial, and operational datasets in NetSuite.

Build and maintain monthly report templates; validate incoming reports for completeness and consistency before processing.

Support the preparation of quarterly and operational reports and presentations, including data pulls, basic analysis, and visualization.

Track total contract values, Change Orders, and Association Fee schedules; flag discrepancies proactively.
Assist with data validation and migration files during ERP implementation; test configured processes, log defects, and support re-testing.

Finance Support

Enter Sales Orders and receivable invoices into NetSuite based on monthly member reports.

Monitor partner reporting and finance compliance; follow the Nch'ú7mut delinquency communication procedure.
Assist with expense report entry, Vendor Setup forms, and management of the shared Reporting inbox.

Other

Contribute to the development and maintenance of a positive workplace culture.

Perform other duties as required.

Qualifications and Experience

Experience in contract administration, drafting, or agreement tracking

Strong data handling skills: comfort maintaining structured datasets, spotting inconsistencies, and translating data into clear reports.

Familiarity with NetSuite (or comparable ERP/CRM system) is a strong asset.

Proficient in MS Office, especially Excel (formulas, pivot tables, basic reporting).

Track record of resolving process or data discrepancies and improving administrative/financial workflows.

Ability to communicate contract and financial information clearly to internal and external stakeholders.

Demonstrated ability to work both independently and collaboratively within a small team.

Ability to maintain confidentiality and handle sensitive information.

Experience working with First Nations or Indigenous organizations is an asset.
