Position Title: Recreational Programs Manager
Employer: Nepean Hotspurs Soccer Club
Position Type: Fluctuating / Cyclical Schedule - part-time hours
Hourly Wage Range: $27.00 - $30.00/hr
Location: Ottawa, ON, Canada
The Recreational Programs Manager reports to the Sporting Director (SD) on technical matters and to the General Manager (GM) on administrative and operational matters. The position works closely with Club staff, coaches, volunteers and families to support the effective delivery of the Club’s recreational programs.
Role Description
The Recreational Programs Manager supports the planning, coordination and delivery of the Club’s recreational soccer programs throughout the year. The position combines technical, administrative and on-field responsibilities and requires a flexible, hands-on approach to meet the changing needs of the Club’s recreational programming season-over-season.
The role is cyclical in nature, with periods of increased activity corresponding with registration, program preparation, coach recruitment and onboarding, and the start and delivery of each seasonal program. Workload and hours may therefore fluctuate throughout the year, with greater availability required during seasonal program launches and other peak programming periods, and reduced activity during off-peak periods. The Manager is expected to plan accordingly and maintain flexibility to respond to operational needs as they arise.
Key Responsibilities
Technical Program Support
- Support the development and delivery of recreational programming, including regular seasonal
programs, camps, Soccer in Schools and other special programs.
- Assist with the development and maintenance of program descriptions and related materials in
collaboration with the SD and GM.
- Develop and deliver seasonal training and orientation for recreational coaches under the
guidance and direction of the SD.
- Support the recruitment, onboarding, training and ongoing mentorship of recreational coaches
to ensure alignment with Club coaching standards and program curricula.
- Collaborate with the SD to identify players who may benefit from additional development
opportunities or consideration for promotion to the competitive program.
- Assist the SD in developing age- and developmentally appropriate curricula for each recreational
season and support coaches in the effective delivery of those curricula.
- Provide ongoing technical support and mentorship to recreational coaches throughout the
season.
Program Administration
- Coordinate the day-to-day delivery of the Club’s recreational programs, ensuring programs are
organized and operating effectively.
- Monitor registrations and program capacity to support the appropriate organization of groups,
teams, coaches and schedules.
- Identify seasonal coaching requirements and assist the SD with coach recruitment, assignment
and onboarding.
- Assist with forecasting and coordinating seasonal requirements for uniforms, equipment and
other program resources in collaboration with the Equipment Manager and GM.
- Support the promotion and marketing of recreational programs, including providing program
information and content as required.
- Attend internal and external meetings as required.
Program Operations & Member Support
- Provide on-site setup, support and supervision at recreational program sessions, including
supporting coaches and addressing operational needs as they arise.
- Coordinate appropriate coverage and replacement of coaches who are unable to attend
scheduled sessions.
- Provide on-field coaching support and fill in for coaches when required.
- Maintain regular communication with parents and respond to member questions, concerns and issues in a timely and professional manner, including in person, by phone and by email.
- Monitor recreational program delivery and identify operational or participant concerns for
follow-up with the GM and/or SD as appropriate.
- Track and submit recreational coaching hours in accordance with Club payroll deadlines and
applicable employment standards.
- Support other Club programs, operational requirements and initiatives as directed by the GM or SD.
Skills & Qualifications
- 2–3 years of experience in youth soccer, recreational sport programming, coaching, program
coordination or a related field.
- Strong understanding of youth soccer development and age-appropriate coaching principles.
- Soccer coaching certification through Canada Soccer or a recognized equivalent, with a
willingness to complete additional certification as required by the Club.
- Experience supporting, supervising, mentoring or coordinating coaches, instructors or
volunteers.
- Experience coordinating sport programs, camps, clinics, leagues or other community-based
programming.
- Strong organizational and administrative skills, with the ability to manage multiple priorities,
deadlines and seasonal demands.
- Excellent communication and interpersonal skills, with the ability to communicate effectively
with coaches, volunteers, players, parents/guardians and Club staff.
- Strong problem-solving and decision-making skills, with the ability to respond calmly and
appropriately to operational issues as they arise.
- Ability to work independently while also collaborating effectively with the Sporting Director,
General Manager and other Club staff.
- Demonstrated ability to provide positive leadership, direction and support to coaches and
volunteers.
- Strong attention to detail and proficiency with standard office and digital communication tools,
including email, Microsoft Office/Google Workspace and online registration or scheduling
platforms.
- Ability and willingness to work flexible hours, including evenings and weekends, in accordance
with the cyclical and seasonal demands of the position
- Valid Vulnerable Sector Police Record Check and completion of required Club, Ontario Soccer
and/or Canada Soccer screening and safeguarding requirements.
- Current Standard First Aid and CPR certification, or willingness to obtain.
