Original job description

New Value Solutions, a national IT consulting company, is seeking a part-time Administrative Coordinator to provide confidential administrative support to senior leadership and support the day-to-day operations of an Internal Audit function.

The Administrative Coordinator will be responsible for preparing reports, reviewing financial information, coordinating meetings and schedules, maintaining departmental systems and records, supporting onboarding activities, and providing administrative support to the broader team. The successful candidate will demonstrate excellent organization, discretion, attention to detail, and the ability to independently manage multiple priorities in a confidential and fast-paced environment.

Responsibilities

Prepare monthly and quarterly operational statistics and reports in accordance with established reporting standards and timelines.
Review departmental monthly financial reports, verify expense accounts and supporting documentation, and identify discrepancies.
Maintain accurate departmental records of leased laptops, monitors, PCs, and other equipment.
Perform editorial reviews of audit reports, correspondence, presentations, and other departmental documents.
Prepare and document accurate meeting minutes, action items, and related materials.
Coordinate appointments, meetings, conferences, and team events, including meeting rooms, agendas, PowerPoint presentations, speaking notes, and catering arrangements.
Support new employee onboarding activities, including coordinating requirements with Facilities Management and IT.
Maintain SharePoint team sites, network files, and audit management systems while ensuring the confidentiality and security of sensitive information.
Receive, screen, and appropriately refer inquiries from internal and external stakeholders.
Coordinate and maintain the Director's schedule as required.
Provide administrative support to members of the Internal Audit team as needed.
Order, authorize, and maintain office supplies and stationery.
Prepare and submit purchase requisitions, travel and business expense claims, staff travel requests, IT requests, course and conference authorizations, and facilities service requests.
Support non-routine and confidential special projects as assigned.
Perform other related administrative duties as required.

Requirements

3+ years of administrative experience supporting senior management and/or Director-level operations.
General financial knowledge and experience reviewing financial information, verifying supporting documentation, and identifying discrepancies.
Advanced proficiency with Microsoft 365 applications, including Outlook, Teams, Word, Excel, PowerPoint, SharePoint, and Copilot.
Demonstrated ability to exercise sound judgment, discretion, integrity, and professionalism when handling confidential and sensitive information.
Strong organizational and time-management skills with the ability to independently manage priorities and deadlines.
Demonstrated ability to work as a self-starter, learn quickly, and advance work with minimal direction.
Experience working in a dynamic environment with multiple priorities, competing demands, and tight timelines.
Excellent relationship-building and interpersonal skills when working with internal teams and business partners.
Strong verbal and written communication skills.
Strong attention to detail and accuracy in preparing, reviewing, and maintaining reports, documentation, and records.
Diploma or certificate in Business Administration, Office Administration, or a related discipline.
Ability to work onsite in Richmond, BC two days per week, with flexibility to work additional hours as required based on workload and activity volume, up to a maximum of 166 hours per month.
