Location Montreal
Are you a positive, organized, and professional individual who thrives on being the central hub of a dynamic office? Stingray is a passionate team dedicated to music and technology, and we are currently seeking a Receptionist for a maternity leave replacement contract. This is a full-time-temporary, in-office position based at our Montreal office. In this role, you are the director of first impressions and a key player in our daily operations.
Your day-to-day
- Be the Ambassador of Stingray: As the first point of contact for our guests, partners, and employees, you will provide a warm, professional, and memorable welcome experience. You will:
- Welcome and greet all visitors and guests in a warm, professional, and courteous manner.
- Notify the appropriate employee of their guest’s arrival and provide assistance as needed.
- Maintain a professional, organized, and welcoming reception area.
- Assist visitors and employees with general inquiries and direct them to the appropriate resources.
- Master of Communications: You will manage our multi-line phone system with efficiency and grace, directing calls to the right people across the organization.
- Answer, screen, and direct incoming calls.
- Take and relay messages as required.
- Manage general reception inquiries and requests.
- Logistics Coordinator: You will be the go-to person for organizing the details that make our office run smoothly, including:
- Coordinating internal and external meetings, events, and client accommodations.
- Preparing and resetting conference rooms for meetings, lunches, presentations, and events, ensuring they are clean, organized, and properly equipped.
- Coordinating and setting up client lunches, refreshments, and other hospitality requirements.
- Arranging business travel, including flights, hotels, and car services.
- Preparing and serving coffee, tea, and refreshments for meetings, internal events, and external guests.
- Supporting the organization and execution of office events and activities.
- Office Hospitality & Operations: You will help maintain a well-organized, welcoming, and fully stocked office environment, including:
- Maintaining the executive kitchen and common areas, including tidying, restocking refreshments and supplies, and conducting regular inventory checks.
- Monitoring office supply and inventory levels and placing orders as required.
- Ensuring meeting rooms, hospitality areas, and shared spaces are properly maintained and ready for use.
- Operational Hub: You will manage the flow of information, packages, and deliveries into and out of the office while providing administrative support across the organization.
- Manage all incoming and outgoing mail, packages, and shipments, including FedEx and courier services.
- Coordinate incoming and outgoing courier pickups and deliveries.
- Distribute mail and packages to the appropriate employees or departments.
- Provide general administrative support to various departments and assist with office-related requests as required.
While reception remains the primary focus of the role, periods of lower call and visitor volume provide opportunities to support the Finance team with administrative Accounts Payable activities, including:
- Receiving and verifying supplier invoices, employee expense reports, and corporate credit card statements.
- Entering invoices and related data into NetSuite.
- Matching purchase orders to invoices and supporting invoice processing.
- Creating and maintaining supplier records within the accounting system.
- Reviewing supplier statements and assisting with account reconciliations.
- Assisting with payment processing and cheque runs across multiple banking platforms.
- Supporting the Finance team with general administrative and data-entry tasks as required.
- Experience: 2+ years of experience as a receptionist or in a client service role. Experience with corporate travel booking is a strong asset.
- Bilingualism: You are fluent in both English and French, with excellent communication skills in both languages.
- Poise Under Pressure: You remain calm, professional, and solution-oriented, even when the pace picks up.
- Organizational Skills: You are highly organized, with a knack for prioritizing tasks and managing your time effectively.
- Initiative: You are resourceful, proactive, and work well both independently and as part of a team.
- Flexibility: You are available and flexible to work evenings and during holiday periods as needed.
- Interest in Finance: Previous administrative, bookkeeping, Accounts Payable, or data-entry experience is considered an asset. This role is well-suited for individuals interested in gaining exposure to corporate finance processes.
