Summary Of Duties
Prepares the National Film Board of Canada (NFB) film submission packages for Canadian and international festivals. Communicates regularly with different NFB sectors to obtain the needed elements for submissions. Researches and gathers relevant documents and verifies the accuracy of information. Monitors the festival calendar and updates submission lists, taking account of submission deadlines, fees and regulations. Participates in discussions on strategic positioning of films at festivals. Drafts correspondence and liaises with external teams regarding films to be submitted. Inputs data, provides administrative follow-up and ensures sending of material. Offers general support to the Festivals team.
Main Responsibilities
- Participates in strategies for submission of NFB films to festivals.
- Plans upcoming submissions based on the strategies and schedules for all festivals and events.
- Builds, in collaboration with internal stakeholders, complete submission packages for each film to be submitted.
- Ensures completion of registration forms and drafting of personalized letters and other documents, and delivers them within the required deadlines.
- Provides continuous quality control of elements related to submissions.
- Prepares documentation related to registration fees and does bank reconciliation.
- Organizes the distribution of accreditations and tickets to festival openings or closings for the filmmakers and producers of selected films.
- Updates information material on new titles in databases used by the Festivals department.
- Monitors the festival calendar and updates submission lists, taking account of submission deadlines, fees and regulations and the strategies for each film.
- Researches festival dates, changes to regulations and submission dates; adds this information to the files and advises the persons concerned.
- Drafts letters, prepares documents, reports, and tables and does festival-related research.
- Provides general support to the Festivals team.
Required Training, Knowledge And Experience
- College diploma in a relevant discipline, including film, humanities, or visual arts.
- Minimum three years of relevant experience in coordination (or any equivalent combination of education and experience), ideally in the cultural sector.
- Knowledge of the film industry; understanding of the dynamics of festivals and film production is an asset.
- Knowledge of standard MS Office Suite software and ease in learning the use of various other software.
- Significant experience in different facets of office work, such as drafting of routine correspondence, handling of incoming and outgoing mail, and document filing.
- Proficiency in English and French, orally and in writing.
Skills Required
- Strong interest in film.
- Evident sense of organization, great attention to detail, ability to work under pressure and effectively manage various priorities with tact, discretion, initiative, and judgment.
- Strict adherences to schedules.
- Rigour in transmitting information to festivals and filing information.
- Sense of initiative and teamwork, proactive in file preparation and monitoring.
- Excellent customer service skills.
