We are seeking a detail-oriented Proposal Coordinator to join the Norland Projects team at our Burnaby Head Office.
Reporting to the Vice President, Pre-Construction, the
Proposal Coordinator will be responsible for coordinating and distributing proposal and other client requested documentation and communications, tracking and compiling proposal submittals and document control management as well as communicating with the client.
Duties & Responsibilities
- Administer the proposal process from receipt of RFP/RFQ/EOI to submission
- Work with team to delegate resources, establish deadlines, track progress
- Writes or drafts proposal sections as required, including cover letters, executive summaries, project descriptions, member qualifications and matrices, boilerplate corporate information and client specific repeatable content etc.
- Act as single point of contact between company and client
- Document Control & maintaining internal files
- Submitting, receiving and distributing proposal information, RFI’s and addenda
- Write and proofread written communications and proposal content
- Other administrative duties include arranging meetings, printing and copying, couriers, maintaining office supplies
- Analyze the project and estimate requirements and establish a plan for developing the proposal response elements
- Work on Joint Venture major project pursuits (Request for Qualifications then Request for Proposals) with other companies
- Client and stakeholder point of contact
Qualifications & Skills
- Degree or diploma from recognized post-secondary institution
- 3+ years’ experience in proposal development or a similar environment or equivalent experience
- Strong computer skills: very proficient MS Office specifically MS Word, InDesign, PDF; experience with Share Point (document management) and Client Relation Database Management an asset
- Strong English language and writing skills – including attention to detail and ability to proofread and edit material, as well as an aptitude for understanding technical terminology.
- Effective multitasker who is capable of handling shifting priorities within a demanding deadline-orientated environment
- Ability to work in a team environment, working towards common goals and objectives
- Very organized, high attention to detail (identification of errors and omissions), problem solver, initiative
- Outstanding verbal and written communication including proof reading and editing
- Ability to read industrial construction drawings and specifications is an asset
- Knowledge of industrial construction RFP and EOI process including bonding, safety, quality control, project controls, addenda, RFI’s, requirements for basic contract types and commercial requirements would be an asset
- Flexibility to work overtime to meet proposal deadlines when required
Compensation
The role is a permanent, full-time position with a typical starting salary range of
$65,000 to
$80,000 per annum. Variations in final salary are determined by additional factors such as the candidate's qualifications, relevant years of experience, geographic location, and prevailing market conditions for the specific role.
