Original job description

What it’s like to be a Northbridge Executive Assistant:

As the Executive Assistant supporting the Vice Presidents in the Western Canada region, you will play a pivotal role in supporting the efficient and strategic operation of the regional portfolio.

Our Executive Assistants work hard to ensure that administrative assistance and secretarial support is provided to our Senior executives. They organize daily calendars, schedule meetings both internally and externally, and organize a wide range of other logistics, from travel to catering. They also take part in meetings; preparing agendas, taking minutes, and preparing materials.

They are passionate about not only keeping things organized, but keeping our Executive staff well-informed and prepared. This means monitoring budgets, highlighting variances, and working with external vendors. They are also strong relationship-builders; working with various other members of the Northbridge leadership team to ensure that all correspondence and information is up-to-date and accurate.

Our EAs also manage and coordinate special projects, including research and reporting, while also managing the administration and communication of these projects.

We want your talent!

If you’re great at:

Communicating clearly and professionally, both verbally and in writing
Managing multiple, changing priorities with confidence and attention to detail
Building productive relationships with senior leaders and key stakeholders
Exercising sound judgment, tact, and diplomacy - especially with confidential information
Taking initiative and working independently while being a strong team player
Staying organized and proactive in a dynamic office environment
Providing exceptional customer service and administrative support
Leveraging technology to identify, recommend, and implement process improvements and operational efficiencies

You have:

Post‑secondary education and/or equivalent on‑the‑job experience
5+ years’ experience in an Executive Assistant or Administrative function in an office environment
Experience providing executive-level support
Advanced knowledge of the Microsoft Office Suite
Proven experience managing executive calendars, travel, expenses, and reimbursements
Experience organizing meetings, training sessions, and special events (on‑site and off‑site), including logistics, materials, catering, and coordination across time zones
The ability to handle highly sensitive and confidential information and maintain secure document retention systems
Experience supporting special projects, including research, reporting, and communications

We really mean it when we say we put you first. Here are a few ways how:

Hybrid work! We have a flexible hybrid model that allows you to work from home up to 2 days per week, with added flexibility for when you really need it.
We offer competitive salaries and support your financial health through our employee share purchase plan, pension plans, RRSP, discounts on staff insurance, and more!
We help you prioritize your well-being from day one through flexible health benefits, early leave days, wellness programs, rewards, and recognition programs.
We are invested in helping you grow in your career through education assistance to complete your CIP, FCIP, CRM or other courses desired, internal mobility, Leadership training and mentoring programs.
NBFC cares about the community and supports the causes you believe in with donation matching and team volunteer days.

We’re committed to pay transparency and fairness. The base salary range for this role is $60,000 - $90,000, which reflects the expected base pay – not the total compensation package. The actual base salary may vary depending on your experience, skills, and alignment with the position. We’re also open to candidates at different levels, so if this range doesn’t quite match your expectations, don’t let that hold you back - we’d still love to hear from you.

Who we are:

We’re Northbridge Insurance. We’re proud to work with Canada’s most trusted commercial broker networks. We have a reputation for being one of Canada’s leading commercial insurance providers. Our employees are dedicated to understanding the needs of our customers and creating solutions that help Canadian businesses have a safer and brighter future.
