Position Summary

We are seeking a proactive, organized, and client-focused Office Assistant to support the daily operations of our financial services company. This role combines administration, client service, business development support, social media management, and office coordination. The ideal candidate is professional, sales-oriented, detail-oriented, and eager to learn and grow within the financial services industry.

Key Responsibilities

Administrative & Office Support

Manage calendars, schedule appointments, meetings, and client reviews.
Handle incoming calls, emails, mail, and general correspondence.
Prepare, update, and maintain business documents, spreadsheets, and reports.
Organize and maintain physical and electronic files, client records, and paperwork.
Coordinate office supplies, equipment, and vendor requirements.
Maintain a professional and organized office environment, including light housekeeping duties and upkeep of common areas.

Client Service & Follow-Up

Serve as the first point of contact for clients and visitors.
Assist with client onboarding and documentation processes.
Follow up with clients regarding appointments, documentation, and service requests.
Maintain accurate and confidential client and prospect records.
Deliver a professional and responsive client experience.

Business Development & Sales Support

Support lead generation and prospecting activities.
Conduct follow-up calls and communications with prospective clients.
Maintain and update prospect and referral databases.
Assist with business development, marketing initiatives, and client engagement activities.
Demonstrate a sales-oriented approach and help identify opportunities to grow the business.

Social Media & Marketing

Manage the company’s social media presence across relevant platforms.
Create, schedule, and post content to increase brand awareness and client engagement.
Monitor inquiries received through social media channels and respond or direct them appropriately.

Compliance & Operational Support

Assist with data entry, document collection, and record maintenance.
Support compliance and regulatory documentation requirements.
Ensure records are maintained accurately and in accordance with company policies.

Qualifications & Skills

Diploma or certificate in Business Administration, Office Administration, Marketing, or a related field is an asset.
1-3 years of experience in an administrative, customer service, call center, telesales, or office support role.
Strong verbal and written communication skills.
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and social media platforms.
Excellent organizational, multitasking, and time-management abilities.
Strong customer service and relationship-building skills.
Sales-oriented with confidence in making outbound calls and following up with prospects.
High attention to detail and ability to handle confidential information.
Self-motivated, proactive, and willing to learn, study, and develop knowledge of financial products and services.

Ideal Candidate

You are energetic, organized, and personable, with prior customer service or call center experience. You enjoy interacting with people, are comfortable supporting sales and business development activities, and are looking to build a long-term career within a growing financial services firm.
