Position Overview

We are seeking a highly organized and proactive Project Management Associate to support the planning, coordination, execution, and tracking of cross-functional projects across the organization.

The Project Management Associate will work closely with management, engineering, operations, sales, business development, and external partners to ensure projects remain on schedule, deliverables are clearly defined, responsibilities are assigned, and risks or delays are identified early.

This role is well suited for someone who is detail-oriented, comfortable managing multiple priorities, and interested in developing a career in project management within a fast-paced technology environment.

Key Responsibilities

Support the planning and execution of internal and external projects from initiation through completion.
Develop and maintain project schedules, milestones, task lists, timelines, and deliverables.
Track project progress and follow up with responsible team members to ensure deadlines are met.
Coordinate activities across engineering, operations, sales, business development, finance, and management teams.
Organize project meetings, prepare agendas, document meeting minutes, and track action items.
Maintain clear records of project decisions, requirements, risks, dependencies, and outstanding issues.
Identify potential project delays, resource constraints, or execution risks and escalate them to management when necessary.
Support project managers and department leaders with resource planning and workload coordination.
Monitor project KPIs, budgets, schedules, and overall execution status.
Prepare weekly and monthly project status reports for management.
Coordinate communication between internal teams, customers, vendors, research partners, and other external stakeholders.
Assist with preparation of project proposals, quotations, statements of work, schedules, and project documentation.
Maintain project files, documentation, reports, and shared workspaces.
Support customer implementation, deployment, testing, acceptance, and project closeout activities.
Assist with procurement tracking, equipment delivery schedules, and supplier coordination when required.
Support government-funded, research, engineering, or commercial projects by maintaining required documentation and reporting.
Help improve internal project management processes, templates, workflows, and reporting systems.
Use project management and automation tools to improve project visibility and reduce manual administrative work.
Perform additional project coordination and operational tasks assigned by management.

Qualifications

Bachelor's degree in Business Administration, Project Management, Engineering, Industrial Engineering, Operations Management, or a related field.
Strong organizational and time-management skills.
Ability to manage multiple projects, deadlines, and stakeholders simultaneously.
Strong attention to detail and ability to maintain accurate project documentation.
Good written and verbal communication skills.
Ability to communicate effectively with both technical and non-technical teams.
Strong proficiency with Microsoft Office or Google Workspace, particularly Excel/Sheets, PowerPoint/Slides, and documentation tools.
Familiarity with project management platforms such as Jira, Asana, Monday.com, ClickUp, Notion, Microsoft Project, or similar tools.
Ability to independently follow up on tasks and drive projects toward completion.
Strong problem-solving skills and ability to identify risks and execution gaps.
Comfortable working in a fast-paced and rapidly changing environment.

Preferred Qualifications

Previous internship or professional experience in project coordination, operations, engineering, consulting, or business administration.
Experience working in a technology, AI, robotics, manufacturing, automation, or startup environment.
Familiarity with Agile, Scrum, Waterfall, or hybrid project management methodologies.
Experience coordinating engineering or product-development projects.
Familiarity with CRM, ERP, procurement, or project-management systems.
Experience preparing project schedules, status reports, budgets, or executive presentations.
Basic understanding of engineering, manufacturing, software development, or system integration projects is a plus.
PMP, CAPM, Scrum, or similar certification is a plus but not required.
