Original job description

Full-time, Monday to Friday, 8:30 a.m. to 4:30 p.m.

This is an in-office position. The successful candidate must be flexible to work at both our Cobourg and Port Hope offices, depending on staffing and operational needs.

We are looking for an organized, personable, and dependable individual to be the first point of contact for clients and provide administrative support to our accounting team. The role involves managing front-desk inquiries, coordinating client documents, and helping keep work organized throughout the year and during busy tax periods.

Welcome clients and visitors, answer and direct incoming calls, and respond to general inquiries.

Arrange client appointments and meetings, maintain office calendars, and follow up on missing information.

Receive client document drop-offs, scan and organize records, and save documents in the appropriate electronic files.

Organize personal and corporate tax documents and year-end records for the accountants, track file progress, and monitor upcoming deadlines.

Send seasonal tax reminders and year-end document requests using the firm’s approved templates.

Arrange electronic signature requests for client documents, track outstanding requests, and follow up to obtain completed signatures.

Assemble completed tax packages, letters, and financial statements, checking that the required documents are included and properly formatted before delivery.

Prepare administrative reports and help maintain information in the firm’s accounting and practice management systems.

Contact the Canada Revenue Agency regarding administrative matters when required and appropriately authorized.

Manage incoming and outgoing mail, courier services, and office supplies.

Provide general administrative support to accountants and other staff.

Complete other related duties as assigned.
