Executive Assistant - Music & Entertainment

Salary: $55,000 - $65,000 CAD annually

THE OPPORTUNITY

Our client is a growing artist management and entertainment company representing internationally touring and recording artists. Its business spans artist management, record labels, global touring, festivals, talent buying, and commercial partnerships.

We're looking for an Executive Assistant to become the founder's right hand, working directly alongside him to keep the business organized and moving forward. You'll shadow his day-to-day work, participate in relevant calls and meetings, turn decisions into action, and ensure commitments are followed through. Your contribution will directly affect his ability to focus on artists, business relationships, and growth.

You'll gain an inside view of the international music business, with exposure to established artists, agents, promoters, record labels, and commercial partners. There may be opportunities to attend concerts and local industry events. This is a demanding, primarily office-based role for someone who enjoys the business and operational side of entertainment rather than creative production or touring.

WHAT YOU'LL OWN

  • Executive Partnership & Shadowing: Work alongside the founder throughout the day, participate in relevant meetings and calls, understand his priorities, anticipate needs, and manage scheduling, meeting logistics, and delegated correspondence.
  • Execution & Follow-Through: Turn conversations and instructions into actionable tasks, execute delegated assignments, coordinate team and external follow-ups, track deadlines, and improve workflows using AI and project management tools.
  • Business, Office & Personal Administration: Handle office administration, expense tracking, credit card reconciliations, budget records, contract and tax paperwork, travel arrangements, and occasional personal and family administration.

WHAT WE'RE LOOKING FOR

  • Experience: 3–7 years in executive assistance, office management, or comparable senior administrative roles.
  • Work Ethic: Proactive, resourceful, organized, and solutions-oriented under pressure. Takes initiative, follows through independently, and holds themselves accountable for results.
  • Owner Mindset & Business Judgment: Thinks beyond assigned tasks, protects the founder's time, understands business priorities and fundamentals, and considers costs, efficiency, and results when making decisions.
  • Technology: Strong Mac and Google Workspace proficiency, familiarity with project management tools such as Asana, and an aptitude for leveraging AI and automation to improve productivity.
  • Professionalism: Sound judgment, discretion, and strong communication skills. Trusted to handle sensitive business and personal information and interact professionally with artists, partners, and external contacts.
  • Industry Experience (Preferred): Experience in artist management, record labels, talent agencies, concert promotion, touring, live events, or related entertainment industries such as film.

POSITION DETAILS

Full-time, primarily in-office in Vancouver, BC, Monday to Friday, approximately 9 a.m.–5 p.m. Occasional evening or weekend commitments. Company laptop and workstation provided.
