As an Assistant Property Manager, you will support the Real Estate Management team in the day-to-day operations of the Canada Square portfolio. Reporting to the Property Manager, you will act as a key liaison between customers, property management, leasing, and operations teams.

You Will Be Responsible For:

CUSTOMER RELATIONSHIP MANAGEMENT:

Assist in establishing and maintaining "World Class" customer relationships through understanding customer needs and concerns as part of the Oxford Commitment
Coordinate regular customer meetings and take meeting minutes
Ensure prompt and courteous attention to all customer requests, internal and external
Maintain customer manuals
Coordinate customer move-in and move-out procedures
Coordinate customer event requirements and Green Team meetings
Maintain Lobby Directories & Elevator screen content in all buildings
Manage site specific content & updates to OxComm customer app for Canada Square portfolio
Preparation of customer notices, internal newsletters, and monthly newsletters to Tenants
Provide support to Community Manager initiatives

REPORTING:

Assist in ensuring all reports are prepared accurately and in a timely manner, recognizing the importance of internal and external relationships
Assist with annual budget preparation and quarterly reforecasting/reporting
Complete monthly accruals and assist with management reporting, including monthly co-owner reports, quarterly asset reports and capital project tracking
Purchase order tracking

ACCOUNTS RECEIVABLE / PAYABLE:

Support the Property Administrator to ensure accuracy of billings and collections are received on time
Support the Property Administrator with providing invoices and backup for tenant chargebacks.
Assist with tenant default notices preparation and delivery to customers
Code invoices for payment, including utility and telecom invoices as well as creating monthly invoices for TTC water consumption.
Physical cheque deposits

LEASE ADMINSTRATION:

Assist with the preparation and delivery of notices to customers with respect to lease administration
Assist with lease clause interpretation and ensuring customer requirements are communicated and adhered to
Assist with the monitoring and completion of leasehold improvement allowance requirements as per the lease

OFFICE & RETAIL LEASING:

Support leasing and property teams with customer renewals, expansions, vacant suite standards maintenance, and tours as needed
Update the Oxford building pages on the Oxford web site as required, through Building Admin
Coordinate Broker fees, payments, and distribution
Maintain storage records and administer new agreements
Coordinate specialty leasing and document drafting with legal.

OPERATIONS, CONSTRUCTION, DEVELOPMENT:

Maintain Emergency Management plan updates, contacts and emergency notifications lists, and send out emergency notifications as required
Assist Operations team with various building inspection requirements
Review and monitor Angus preventative maintenance performance results
Assist Construction Manager during leasehold improvement and Landlord’s work processes
Work with Risk Management as required on Insurance related issues
Coordinate with Security, Cleaning, Parking operators as required, including for items such as Vacancy listings and Security escort requirement
Work with operations for vendor onboarding.

Required Skills & Experience:

3 -5 years’ experience in Real Estate Management required
Post-secondary degree with focus in business or real estate
Demonstrated ability to multi-task and manage priorities under pressure with careful attention to detail
Demonstrated financial, analytical and decision-making skills
Strong Computer skills and knowledge of MS Office required, basic knowledge in Yardi preferred
Excellent communication skills both written and oral
Strong interpersonal skills for successful teamwork working closely with customers

Preferred Skills & Experience:

Enrolment in RPA/CPM is an asset
Familiarity with LEED EB submissions, BOMA Best and BOMA Certificate of Excellence
Ability to find creative solutions and help drive results
