DIRECTOR OF OPERATIONS

ABOUT ONCOSCOPE AI

Oncoscope AI is a rapidly growing oncology evidence technology company providing real-time, AI-assisted living systematic literature reviews and evidence solutions for healthcare professionals and life-sciences companies. We combine proprietary technology with expert human scientific review to deliver current, structured and decision-ready evidence.

Our distributed team includes approximately 15 employees and contractors across Canada and the United States.

THE ROLE

We are seeking a hands-on Director of Operations, based in Canada, to build and manage the day-to-day business infrastructure of the company.

This role combines leadership with direct execution across finance, accounting operations, payroll, human resources, client administration and corporate operations. The successful candidate must be comfortable moving between operational details, financial management, process development and broader company priorities.

This is not a narrowly defined administrative role or a review-only accounting position. We need a senior operator who will personally ensure that essential work is completed accurately and on time while building systems that can scale as the company grows.

KEY RESPONSIBILITIES

Finance, Accounting and Payroll

Manage day-to-day financial administration across Canada and the United States, working with external accountants, tax advisors, payroll providers and banks.

Maintain accurate books and supporting records in QuickBooks, including transaction coding, reconciliations, accounts payable, accounts receivable and expense documentation.

Administer outsourced payroll and related employee records in each jurisdiction.

Establish and manage a reliable monthly close process, including reconciliations, payroll entries, accruals, revenue recognition, deferred revenue, foreign-exchange accounting and review of the P&L and balance sheet.

Maintain appropriately separated entity-level records and consolidated reporting across Canadian and U.S. operations.

Prepare monthly financial reporting, budgets, forecasts, cash-flow projections, scenario analyses and financial models.

Coordinate Canadian GST/HST, corporate tax, payroll remittances, statutory filings and cross-border requirements with qualified external advisors.

Establish appropriate financial controls, approval processes and record-retention practices.

Client and Commercial Operations

Manage the administrative process from proposal through payment, including pricing schedules, MSAs, statements of work, purchase orders, vendor onboarding, invoices, collections and renewals.

Maintain current records of client agreements, obligations, key dates, revenue schedules and invoicing milestones.

Coordinate with client procurement, finance, legal and vendor-management teams.

Provide visibility into contracted revenue, pipeline conversion, backlog, receivables and delivery-related financial commitments.

People Operations and Human Resources

Manage practical HR administration for employees and contractors in Canada and the United States.

Coordinate recruiting administration, offers, agreements, onboarding, compensation changes, performance-review cycles and offboarding.

Maintain confidential personnel records, policies, handbooks, leave records and required documentation.

Administer benefits, paid time off and payroll-related employee information in coordination with external providers.

Monitor HR compliance requirements and engage appropriate legal or specialist support when needed.

Corporate Operations

Maintain consultant, contractor and vendor agreements, payment schedules, renewals and documentation.

Manage company insurance, registrations, subscriptions, licenses, banking administration and corporate records.

Translate leadership priorities into operating plans, responsibilities, timelines and budgets.

Build practical SOPs, templates, trackers, dashboards and approval workflows.

Prepare operating and financial materials for leadership and Board meetings.

Support business development, marketing, investor relations, fundraising preparation, diligence requests and other cross-functional priorities as needed.

REQUIRED EXPERIENCE

Prior hands-on responsibility for operations across both Canadian and U.S. organizations, including multi-jurisdictional finance, payroll, people operations, contracts and compliance.

Prior experience working in a small company or start-up environment.

Demonstrated direct ownership of accounting operations, payroll, HR administration, contracts, billing and vendor management - not only oversight of work performed by others.

Strong working knowledge of QuickBooks, Excel and payroll or HR platforms such as ADP.

Experience with intercompany and multi-currency accounting.

Experience working for a vendor or service provider serving pharmaceutical or life-sciences companies.

Familiarity with pharma procurement, contracting, vendor onboarding and client-service requirements.

Strong financial judgment and the ability to work comfortably at both the transaction and leadership levels.

Exceptional organization, discretion, follow-through and communication skills.

A resourceful, low-ego working style and willingness to perform day-to-day work personally while building processes that can later be delegated or automated.

PREFERRED EXPERIENCE

Experience supporting international or cross-border business operations.

An accounting degree is preferred. CPA, MBA, HR, finance or operations credentials are helpful but not required.
