Who We Are

OnDeck Marketing is a fast-growing digital out-of-home media company operating inside community colleges and high schools across North America. We connect higher ed institutions with their ideal prospective students through screens placed in school hallways and managed digital media campaigns across social media and programmatic platforms.

The Role

The Operations Project Manager keeps client campaigns on track from launch to close and keeps an assigned portfolio of partner schools engaged, growing, and technically up and running.

The role combines three areas of work: project managing client campaigns across OnDeck's Screens and Digital service lines , running the logistics and technical upkeep of the screens across our network, and managing relationships with partner school contacts towards network growth.

What You'll Do

Campaign Project Management (Screens and Digital)

  • Track creative, asset, and approval deadlines, and follow up with internal teams and clients to keep campaigns launching on time
  • Maintain campaign tasks and status in OnDeck's project management tools so the current state of every campaign is visible to the team
  • Confirm that the screens are working before and during each flight, and flag outages or school closures that could affect delivery
  • Identify risks to timelines, budgets, or delivery across both service lines, and escalate them early with proposed solutions
  • Coordinate campaign close-out, including making sure final reporting reaches Client Success Managers complete and on time
  • Support the virtual assistant team with the screen-level and campaign information needed for content uploads and reporting

Screen Installation Logistics

  • Plan and coordinate the logistics of new screen installations, including scheduling, school coordination, site requirements, equipment, and vendor bookings
  • Confirm each install is complete, the screen is working, and the school knows who to contact, before handing it off to active operation

Technical Network Maintenance

  • Monitor the active screen network for outages, connectivity issues, and hardware faults
  • Troubleshoot screen issues with schools and coordinate repairs and replacements with the technical team and vendors
  • Prepare regular screen uptime reporting
  • Maintain an accurate inventory of installed screens, their locations, and their status
  • Escalate recurring technical issues or vendor concerns

Partner School Relationships

  • Serve as the main point of contact for guidance counsellors, administrators, and district contacts at partner schools in the assigned portfolio
  • Hold regular check-ins with partner school contacts to keep them engaged and surface any concerns early
  • Demonstrate ongoing value to schools by sharing relevant content, such as newsletters, bursary updates, and other useful information
  • Support the development and distribution of original screen content that meets counsellors' needs and school goals
  • Gather feedback from counsellors on new ideas, content pilots, and product changes

Referrals and Network Growth

  • Source referrals to prospective partner schools, and sell through new partner schools
  • Source referrals to client institution contacts, and hand them off to Business Development for new business or to Client Success for existing clients
  • Keep partner school, screen, and referral records accurate and current in the CRM, in line with OnDeck's data standards

Reporting and Process

  • Meet reporting deadlines and follow the processes and playbooks set for partner, screen, and campaign operations
  • Propose and implement improvements to processes and workflows based on day-to-day experience with schools and screens
  • Report regularly on portfolio health, screen status, and KPI progress

Who You Are

  • Organized and Detail-Oriented: You naturally take charge of projects and lead collaborative teams towards delivering valuable outcomes.
  • Customer-Driven: You excel at building relationships with customers over time and leveraging them towards company growth.
  • Technically-Minded: You can diagnose a hardware issue from afar and nerd out over workflow systems and granular reporting.
  • A Confident Communicator: You're comfortable having conversations with internal stakeholders and external customers through face-to-face and written channels.
