Job Overview

Design, build, and maintain the connected systems layer that runs the client: joining existing platforms, replacing obsolete tools and manual processes, and applying current AI capabilities to reduce administrative effort across sales, estimating, operations, and finance.

This is a build role. The person is expected to deliver working, documented, maintainable automation, not to advise.

Client stated intent is to use the latest available technology to stay ahead of competitors and take efficiency and commercial advantage wherever it exists. This role is the primary means of delivering that. Staying current with AI capability is therefore a standing requirement of the job, not a bonus. Someone comfortable with what they already know is the wrong appointment.

Key Responsibilities

Integration and Middleware

Design, build, test and maintain Make.com scenarios connecting HubSpot, Xero, Microsoft 365, telephony and internal tools.
Build and consume REST APIs and webhooks, including authentication, pagination, rate limiting, and error handling.
Replace manual re-keying and spreadsheet-based handoffs between departments with reliable automated flows.
Establish proper error handling, retry logic, alerting,g and logging so failures are visible rather than silent.
Own the automation estate: naming conventions, folder structure, version control, change log,og and rollback plan.

HubSpot Administration and Development

Act as day-to-day HubSpot administrator: properties, pipelines, association labels, workflows, permissions, integrations and data quality.
Build and maintain reports and dashboards for sales, marketing and management.
Carry out data cleansing, deduplication, bulk updates and imports safely, with backups taken first.
Support ongoing CRM optimisation work, including sector consolidation, association and ownership rules, and resolving orphaned records.
Develop against the HubSpot API where standard configuration is insufficient.

Applied AI and Competitive Advantage

This is the most important part of the role. Client intends to be ahead of its competitors on the practical use of AI, not level with them.

Own Clients’ applied AI capability: identify where current AI can remove administrative effort, shorten lead time, improve accuracy, or create a commercial advantage, and build it.
Build and maintain AI-assisted tooling: document and enquiry extraction, data classification, drafting assistance, summarisation and internal knowledge search.
Work fluently with large language model APIs, including prompt design, structured output, tool use, retrieval, evaluation,n and cost control.
Stay genuinely current. This field moves monthly. The expectation is that this person tracks new model releases, tooling, ng and platform capability as a routine part of the job, tests what is relevant, and brings back working proof rather than articles.
Maintain a live view of what Clients could be doing but is not yet, with an assessment of effort against benefit, and review it with the Technical Director each quarter.
Apply sensible guardrails: no unverified AI output going to customers, no confidential data sent to unapproved services, and a human check on anything that carries commercial or compliance risk.

Systems Replacement and Rationalisation

Support the migration away from obsolete or duplicated systems onto the agreed HubSpot, Xero and Make.com spine.
Document existing processes before changing them, and map data between old and new systems.
Build internal tools and interfaces where no suitable off-the-shelf product exists.

Documentation, SOPs and Governance

Documentation is a core deliverable of this role, not an afterthought. Nothing is finished until it is written up.

Write and maintain a full standard operating procedure for every process this role builds or changes, covering what it does, who uses it, how to run it, and what to do when it fails.
Document every unique or bespoke build in detail: purpose, logic, data mapping, dependencies, credentials used, known limitations, and how to modify it safely.
Maintain a single central systems register listing every scenario, integration, tool,l and automation, its owner, and where its documentation lives.
Keep documentation current as part of each change. A build altered without its SOP updated is not complete.
Maintain a change log and test in a controlled way before deploying to live.
Follow agreed access, password, and data protection standards.
Documentation must be good enough for a competent third party to take the whole estate over without this person present. This is tested, not assumed.

Essential

Non-negotiable Skills & Requirements

Three or more years building business systems integrations, automations, ns or internal tooling.
Demonstrable hands-on Make.com experience, or equivalent depth in Zapier, n8n, Power Automate, Ate, or Workato, with a clear willingness to work primarily in Make.
Strong working knowledge of REST APIs, JSON, webhooks and OAuth-based authentication.
Practical scripting ability: JavaScript or Python.
Confident with data: SQL or equivalent, spreadsheet modelling, data mapping, cleansing and migration.
Genuine, current, hands-on experience applying AI and large language models to real business processes, with examples of what was built, what it replaced, and the measurable result. Theoretical or course-based knowledge is not sufficient.
Demonstrably up to date with the AI landscape as it stands now, and able to explain what has changed in the last six months and what they did about it.
Able to work independently across a full UK working day with minimal supervision, and to communicate clearly in written and spoken English with non-technical colleagues.
Structured, methodical and genuinely disciplined about documentation and testing. This is a hard requirement, not a preference.

Desirable

HubSpot administration or development experience, ideally Sales Hub and Marketing Hub. This is close to essential and should be weighted heavily at shortlisting.
HubSpot certifications, or Make.com certification.
Microsoft 365 and SharePoint working knowledge at application level; tenant administration sits with the IT provider.
Xero, or general accounting-system integration experience.
Experience in manufacturing, construction products,s or a project-based B2B business.
Exposure to CAD, C, AM or production planning systems.
Front-end skills for building simple internal tools and interfaces.
