Job Title: Operations & Accounting Specialist (CAS / Advisory Support)

Location: Markham, Ontario (In-Office / Hybrid)

Type: Full-Time (Monday – Friday, 9:00 AM – 5:00 PM)

About Optimal Accounting

Optimal Accounting is a high-growth, specialized Financial Operations & Fractional CFO practice headquartered in Markham, Ontario. We serve mid-market General Contractors and commercial construction enterprises across Canada and the United States ($15M to $100M+ revenue).

Unlike traditional CPA tax shops, we act as our clients' complete internal finance department - combining high-level executive CFO advisory with a modern, tech-driven global execution engine.

The Opportunity

We are seeking an enthusiastic, highly organized, and tech-forward Operations & Accounting Specialist to join our Markham team.

In this role, you will serve as a vital operational engine - supporting our Canadian Account Managers/CFOs, liaising with our global delivery teams, and ensuring daily financial workflows for our enterprise construction clients run seamlessly.

This position offers rapid career progression for a ambitious professional looking to move beyond traditional bookkeeping and develop into a Fractional Controller or Construction Advisory Consultant.

Key Responsibilities
  • Core Accounting Execution & Oversight:
  • Accounts Payable & Compliance: Oversee digital invoice processing via automation platforms, manage approval workflows, prepare AP aging reports, and review subcontractor lien waivers/pay-apps.
  • Accounts Receivable: Prepare billing packages, manage invoicing, and perform AR aging analysis for high-volume commercial projects.
  • Payroll & Time Tracking: Reconcile field employee time entries, handle payroll postings, and assist with job-cost allocations.
  • Banking & Reconciliations: Perform bank and credit card entries, reconciliations, and routine month-end GL postings.
  • Global Hub & Workflow Coordination:
  • Support onshore Account Managers by coordinating daily task flow and quality-checking deliverables from our offshore execution hub.
  • Act as a reliable operational bridge between client requests, Canadian CFO leads, and back-office processors.
  • Client Engagement & Advisory Support:
  • Serve as a professional, responsive point of contact for daily client accounting inquiries.
  • Assist in preparing monthly financial packages, WIP (Work in Progress) schedules, and ad-hoc analytical reports.
Qualifications & Skills
  • Education: College Advanced Diploma or Bachelor’s Degree in Accounting, Finance, or Business Administration.
  • Experience: 1–3 years of hands-on experience in full-cycle bookkeeping, AP/AR, or accounting support (construction industry experience is a major asset).
  • Tech Savvy: Comfortable leveraging modern cloud platforms and advanced accounting software.
  • Experience or willingness to master enterprise ERPs like Jonas Premier, as well as QuickBooks Online, Dext, and Wagepoint.
  • Strong proficiency in Microsoft Excel (VLOOKUPs, pivot tables, data management).
  • Communication & Professionalism: Excellent written and verbal English communication skills; comfortable speaking directly with business owners, vendors, and internal team members.
  • Detail & Process-Oriented: Exceptional organizational skills with the ability to manage competing priorities in a fast-paced environment.
What We Offer
  • Clear Career Growth: Direct line of sight to advance into an Assistant Controller or Advisory Consulting role as the firm continues its North American expansion.
  • Enterprise Exposure: Hands-on training on enterprise-grade construction ERP systems (Jonas Premier) and high-level CFO advisory frameworks.
  • Collaborative Culture: A close-knit, supportive team environment where your work directly impacts company growth and team sanity.
