Original job description

About Optimize Wealth Management

Optimize Wealth Management, located in Toronto, ON, is a premier wealth management company dedicated to providing personalized financial solutions and advice. Our holistic approach integrates financial planning, portfolio management, tax preparation, debt management, and estate planning - striving to exceed clients’ financial and life goals. Our core values are honesty, persistence, teamwork, and excellence.

The opportunity

We are hiring an Advisor Transition Coordinator to join our Advisor Transition Team at our Toronto Head Office. In this role, you own the onboarding journey for experienced financial advisors who are moving their practices to Optimize, ensuring every new advisor and their clients experience a smooth, professional transition. It is a full‑time, in‑person role ideal for someone with a financial services background that is highly organized, and thrives in a dynamic environment.

What you’ll do

Act as the primary point of contact for incoming advisors, guiding them through every step of the transition.
Track and manage transition timelines, milestones, and outstanding items, escalating issues as needed to keep transitions on schedule.
Prepare, review, and process transition documentation and account opening paperwork to ensure accuracy and completeness.
Coordinate with internal Tax, Estate, Financial Planning, Operations, and Insurance teams to complete account setups and service changes.
Proactively follow up on missing items, keep advisors informed, and provide regular status updates to internal stakeholders.

What you bring

3+ years of experience in financial services, wealth management, or banking (advisor support, branch administration, transition/onboarding, or operations strongly preferred).
Strong familiarity with investment and registered account types, transfer processes, and general wealth management concepts.
Exceptional attention to detail and organizational skills; comfortable managing many moving pieces at once.
Clear, confident written and verbal communication with advisors, clients, and internal teams.
Ability to work full‑time, on‑site in downtown Toronto.
Progress toward or completion of CSC or CIM is a strong asset.
