Executive Assistant - Support a C-suite leader. Lead the function around them.

West- Toronto - Fulltime

We are working with a large, well-established, service-driven organization with a global reputation, and we're looking for an Executive Assistant who wants more than a calendar to manage. You'll be the right hand to a senior executive who believes in trust and building partnerships. This role will be the driving force behind how the department runs.

What you'll own:

Executive Administration

Calendar, inbox, and travel. This executive is self-sufficient, so your job is a seamless baseline of support that keeps things moving without needing to be asked.
Using your strong MS Office skills to support a variety of meetings and presentations.

Department Operations

Act as the department's task and project manager: drive deliverables across teams, follow up, flag risks early, and keep momentum high. You'll also oversee day-to-day office functions, including meeting rooms and floor management.

Engagement and Events

Plan and run employee meetings and key departmental engagements independently, start to finish. This is one part of a broader operational role, not the focus of it.

Mentorship

Guide other administrative employees on the team, setting standards, sharing your expertise, and helping them grow.

What you bring

7+ years as an Executive Assistant, ideally supporting C-suite leaders
A degree/diploma in Business Administration, Communications, or a related field or comparable experience
Experience in a large, matrixed environment (insurance, financial services, or similar), where you've handled high volume and complex org structures without getting overwhelmed is a strong asset.
Experience in a customer-centric, service-focused setting
You'll regularly interface with other C-suite and their assistants at major global partner organizations, so a strong business acumen and professionalism matter.
A warm, energetic personality that lifts team culture
Flexibility to be on-site a minimum of 4 days a week, with a willingness to go to 5 when the business needs it
