About the role

Reporting to the Senior Executive Managing Director and Global Head of Liquid Assets, Total Portfolio Management (TPM), this role will oversee various operational and business administration aspects for TPM. The Senior Investment Coordinator, TPM will perform diverse functions to support the advancement of TPM's priorities across OPTrust. Their actions will also contribute to the ongoing strengthening of the team’s culture.

This role is well-suited for a highly organized individual who can handle a large volume of requests and possesses and brings perceptive and an understanding of how to support a large Investment team with multiple leaders. Additionally, this role requires someone who understands the confidentiality and urgency required to undertake operational issues and ensure internal controls are met.

What you’ll do

Serve as the primary point of contact for internal and external stakeholders, providing responsive and professional support across a broad range of business activities.
Manage the calendar and incoming inquiries of the Senior Executive Managing Director and Global Head of Liquid Assets, Total Portfolio Management.
Manage complex calendars and administrative priorities for senior leadership, proactively coordinating schedules, meeting logistics, and competing business demands.
Build and maintain effective relationships with key stakeholders, service providers, and business partners to support team objectives and strategic initiatives.
Manage vendor relationships, including account administration, contract negotiations, service agreements, and ongoing performance monitoring.
Lead procurement activities for research, services, and operational requirements, ensuring compliance with organizational policies and budget parameters.
Prepare business cases, conduct vendor due diligence, and support data gathering and market research to inform procurement decisions.
Oversee multiple cost centres and departmental budgets, including forecasting, invoice processing, expense tracking, variance analysis, and financial reporting.
Administer centralized research budgets and external manager fee expenditures, ensuring accurate allocation and adherence to established financial controls.
Perform account reconciliations and prepare periodic financial reports to support governance, transparency, and budget management.
Coordinate investment committee, leadership, and team meetings, including scheduling, agenda preparation, material development, minute-taking, and follow-up activities.
Conduct ad hoc analysis, research, and special projects to support business priorities and decision-making.
Ensure all activities are executed in accordance with procurement, governance, financial, and organizational policies.
Provide broader administrative and operational support to the team and undertake additional responsibilities as required.
Performs other duties as assigned.
Ensure clear understanding and adherence of all OPTrust’s policies, procedures, guidelines as well as living our values and fostering an inclusive culture.

What you bring

A minimum of 10 years’ experience working directly with investment professionals, preferably with exposure to knowledge management processes.
A university education related to business, finance, or other relevant disciplines with knowledge of the investment or pension industry is preferred.
Demonstrated experience and knowledge in the investment related procurement process.
Proven track record in negotiation of contract terms and pricing.
Proficient with Microsoft Office and Adobe Acrobat Pro, with strong PowerPoint and Excel experience preferred.
Detail-oriented, with experience supporting teams and balancing multiple tasks and priorities.
Effective listening, written and verbal communication skills.
Ability to multitask and prioritize and deliver high-quality, professional work products.
Self-motivated and able to work with minimum supervision, as well as a team player.
Analytical/Problem solving skills to learn quickly and to identify and resolve problems.
Demonstrated service orientation and relationship management skills with a demonstrated ability to forge strong relationships with internal stakeholders and a variety of external partners at all levels.
Demonstrated project management, planning, organization and time management skills.
Canadian Securities Course (CSC) preferred.
