About the Role

The HR Administrator is responsible for the accurate and timely execution of HR administration across the employee lifecycle. This is a global role with exposure to HR operations across eight countries, offering the opportunity to build broad international HR experience. The role ensures employee transactions, payroll inputs, documentation, HR systems and recurring HR processes are completed accurately, on time and with consistent follow-through.

Key Responsibilities

Employee Lifecycle Administration: Ensure employee lifecycle processes are completed accurately and on time.
Coordinate onboarding and offboarding administration, including required tickets, documentation and internal notifications.
Prepare employment letters and other employee documentation accurately and within required timelines.
Process employee changes, including promotions, compensation changes, transfers, leaves and terminations.
HR Inbox & Employee Support: Provide employees and managers with timely and accurate HR administrative support.
Own the HR inbox and ensure inquiries are responded to, resolved or routed to the appropriate person within required timelines.
Track outstanding requests through to resolution.
Identify and document recurring questions or issues and recommend opportunities to improve HR processes or communication.
Payroll & Benefits Administration: Ensure payroll and benefit changes are accurate, complete and submitted within required deadlines.
Prepare and communicate accurate and timely payroll inputs, including new hires, terminations, compensation changes, and other ad hoc payments or deductions.
Administer benefit enrolments, changes and terminations.
Review payroll and benefit information for completeness and accuracy before submission.
HR Systems & Employee Records: Maintain complete, accurate and current employee data and records.
Maintain employee records and ensure required documentation is complete and appropriately filed.
Update HR systems promptly following employee changes.
Conduct regular data and file audits and resolve discrepancies.
Maintain appropriate confidentiality and data handling standards.
Policies & HR Process Administration: Ensure recurring HR processes, policies and documentation remain current and on schedule.
Coordinate handbook and policy reviews, updates, approvals and version control.
Follow up with responsible stakeholders to ensure HR deliverables are completed by established deadlines.
Identify administrative processes that can be simplified, standardized or automated.
Training Coordination: Provide administrative and coordination support for HR and company training programs.
Coordinate training administration, including scheduling sessions, managing invitations and communications, and posting training courses.
Track attendance and completion rates, follow up on outstanding training and provide completion reporting.
Maintain complete and accurate training records.

Key Qualifications & Competencies

1-3 years of experience in HR administration, HR operations, payroll administration or a similar role.
Completion of an HR certificate, Human Resources Management program or similar HR qualification is an asset.
Strong attention to detail and commitment to accuracy.
Highly organized with the ability to manage multiple deadlines and recurring processes.
Strong follow-through and personal accountability.
Clear and professional written and verbal communication.
Comfortable working with HR systems, spreadsheets and administrative workflows.
Able to handle confidential employee information with discretion.
Proactive in identifying gaps, following up on outstanding items and improving processes.

What to Expect

As you become established in your role, you will transition to our hybrid working model, currently consisting of 3 days per week in the office, offering both flexibility and continued collaboration.
