About the Role

The HR Coordinator is an entry-level opportunity for someone interested in starting a career in Human Resources. Working as part of a global HR team, you will gain hands-on experience in HR operations, employee administration, payroll support, HR systems, and employee support across multiple countries. This role offers broad exposure to HR processes and provides a strong foundation for a career in the profession.

Designed for a recent graduate or early-career professional, this role offers training, mentorship, and opportunities to develop skills across multiple areas of HR within a global organization.

Key Responsibilities

Employee Lifecycle Administration: Ensure employee lifecycle processes are completed accurately and on time.

Coordinate onboarding and offboarding administration, including required tickets, documentation and internal notifications.
Prepare employment letters and other employee documentation accurately and within required timelines.
Process employee changes, including promotions, compensation changes, transfers, leaves and terminations.

HR Inbox & Employee Support: Provide employees and managers with timely and accurate HR administrative support.

Support management of the HR inbox and ensure inquiries are responded to, resolved or routed to the appropriate person within required timelines.
Track outstanding requests through to resolution.
Share ideas for improving processes and employee experience.

Payroll & Benefits Administration: Ensure payroll and benefit changes are accurate, complete and submitted within required deadlines.

Support payroll administration by gathering, validating and submitting employee changes and required documentation.
Administer benefit enrolments and changes.
Review payroll and benefit information for completeness and accuracy before submission.

HR Systems & Employee Records: Maintain complete, accurate and current employee data and records.

Maintain employee records and ensure required documentation is complete and appropriately filed.
Update HR systems promptly following employee changes.
Conduct regular data and file audits and resolve discrepancies.
Maintain appropriate confidentiality and data handling standards.

Policies & HR Process Administration: Assist with recurring HR processes, policies and projects.

Assist with handbook and policy updates and documentation.
Follow up with responsible stakeholders to ensure HR deliverables are completed by established deadlines.
Identify administrative processes that can be simplified, standardized or automated.

Training Coordination: Provide administrative and coordination support for HR and company training programs.

Coordinate training administration, including scheduling sessions, managing invitations and communications, and posting training courses.
Track attendance and completion rates, follow up on outstanding training and provide completion reporting.
Maintain complete and accurate training records.

Key Qualifications & Competencies

Recent graduate or early-career professional interested in building a career in Human Resources.
Previous HR experience is not required. Completion of an HR certificate or program, relevant internship, co-op, administrative, customer service, office support, or campus leadership experience are considered assets.
Strong attention to detail and commitment to accuracy.
Highly organized with the ability to manage multiple deadlines and recurring processes.
Strong follow-through and personal accountability.
Clear and professional written and verbal communication.
Comfortable working with HR systems, spreadsheets and administrative workflows.
Able to handle confidential employee information with discretion.
Proactive in identifying gaps, following up on outstanding items and improving processes.

What to Expect

As you become established in your role, you will transition to our hybrid working model, currently consisting of 3 days per week in the office, offering both flexibility and continued collaboration.
