Job Summary

The Malheur Experiment Station of Oregon State University is seeking an Office Manager to serve as the operational anchor for an academic community dedicated to scholarship and education on environmental, natural resource, and food system issues. This is a full-time (1.00 FTE), 12-month, professional faculty position.

This position is located in Ontario, Oregon.

As one of the branch experiment stations for Oregon State University’s College of Agricultural Sciences, the Malheur Experiment Station in Ontario, OR is where cutting-edge science meets real-world impact. We are a dedicated, down-to-earth team of scientists, researchers, technicians, and students working to advance sustainable agriculture and natural resource conservation in the Treasure Valley.

As our Office Manager, you will have a critical role in ensuring the smooth operation of the station. You will assist the Director in the management of the day-to-day operations and fiscal oversite of the station so our research teams can focus on discovering tomorrow's agricultural solutions. We pride ourselves on a collaborative, community-focused workplace where your ideas for improving the station and our operations will be valued so we can better serve our community.

Oregon State University offers a comprehensive benefits package that is designed to meet the needs of our employees and their families.

Key Responsibilities

Assist with purchasing and ordering decisions for the station in general, including obtaining quotes for large ticket items such as farm equipment, and IT purchases.
Assist faculty and staff with purchase card management.
Assist faculty with grant budget preparation, management and oversight.
Serve as the Human Resources Liaison. Maintain records of personnel and submit personnel hiring, changes, and termination paperwork as appropriate to OSU Human Resources for processing.
Co-arrange or co-coordinate departmental meetings, socials, gatherings, research events, and Field Days at MES.
Attend workshops, seminars, and training sessions to enhance skills and knowledge relevant to the position.

Qualifications

Required Qualifications:

Bachelor’s degree in related field and 3 years office management experience in a complex office environment or equivalent combination of education and experience. Or 5+ years of experience in office management.
Proficiency with computers and standard office programs including Microsoft Office, electronic databases, email, and web applications.
Effective written and verbal communication skills.
Demonstrated ability to work independently with minimal supervision.
Demonstrated ability to maintain confidentiality over transactions involving personnel and other sensitive matters.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.

This position requires driving a university vehicle or a personal vehicle on behalf of the university; therefore, the incumbent must successfully complete a motor vehicle history check, possess and maintain a current, valid driver's license in their state of residence, be determined to be position qualified and self-report convictions as per University Policy 05-030.

May require working outside in inclement weather.

Requires evening and weekend work.

Requires overnight travel.

This position is deemed essential, and the incumbent is expected to contact his/her supervisor (or Person in Charge) by phone during inclement weather, emergency and other University work curtailments or closures to determine if she/he must report to work.

We are an Equal Opportunity Employer, including disability, protected veteran, and other protected status.

OSU will conduct a review of the National Sex Offender Public website prior to hire.

OSU is a fair chance employer committed to inclusive hiring. We encourage applications from candidates who bring a wide range of lived experience including involvement with the justice system. If this position has “critical or security-sensitive” responsibilities and/or driving duties and you are selected as a finalist, your initial job offer will be contingent upon the results of a job-related pre-employment check (such as a background check, motor vehicle history check, sexual misconduct reference check, etc.). Background check results do not automatically disqualify a candidate. Take a look at our Background Checks website including the for candidates section for more details. If you have questions or concerns about the pre-employment check, please contact OSU’s Employee and Labor Relations team at employee.relations@oregonstate.edu.
