Position Title: Production Assistant

Company: Allstar Rebar

About Allstar Rebar

Established in 1993, Allstar cuts, bends and installs reinforcing steel for poured-in-placed concrete work. Its annual plant capacity is currently 10,000+ tons. Estimating, detailing, shop scheduling, tagging and shipping is performed using a computerized production management system. Rebar shop drawings are prepared using the latest 3D CAD technology to CSA, CRSI and ASTM specifications. Rebar is installed using in-house or subcontracted field crews depending on the project requirements. Projects have been completed projects in various regions of Canada and Bermuda. Allstar has been a proud member of the OSCO Construction Group since 2008.

Job Summary

The Production Assistant plays a key role in supporting the day-to-day operations of a fast-paced manufacturing environment. Acting as a central point of contact for customers, vendors, and internal teams, this position is responsible for coordinating customer orders, maintaining accurate production and shipping documentation, supporting project setup, and ensuring information is organized and up to date. The successful candidate is highly organized, detail-oriented, and capable of managing multiple priorities while helping ensure projects move efficiently from order entry through production and delivery.

Responsibilities

Be a key point of contact for customers, vendors, and internal teams, providing friendly, professional service and accurate information
Process customer orders and coordinate order details and timelines with customers and production
Prepare and maintain production, shipping, and project documentation, ensuring information is accurate and up to date
Coordinate new job setup by working with Project Managers to gather project details, create job folders, maintain databases, and coordinate job numbers
Maintain accurate records and tracking logs, including control codes and daily sales information, ensuring documentation is current and well organized
Coordinate shipping documentation by preparing shipping bills, drawings, bar lists, and delivery packages
Prepare and distribute weekly production reports and other operational updates for management
Keep the office running smoothly by monitoring and ordering office supplies as needed
Enter and maintain change orders in the system, ensuring information is complete, accurate, and up to date
Support day-to-day office operations, including supply management and internal communications as needed

Requirements

Previous experience in an administrative, customer service, or office support role
Post-secondary education in business administration or a related field would be considered an asset
Reliable, highly organized, and detail-oriented, with the ability to manage multiple priorities in a fast-paced and changing environment
Strong attention to detail in data entry, document control, and administrative processes
Good numerical and basic math skills, with a focus on accuracy
Proactive and responsive, with good workflow awareness and the ability to prioritize effectively
Excellent communication, interpersonal, and customer service skills
Proficiency with Microsoft Office and confidence learning new systems and software
Strong interpersonal skills with the ability to work collaboratively with customers, production teams, Project Managers, and other departments
Dependable, proactive, and able to work independently while contributing to a team environment
