JOB SUMMARY

Otodata is seeking a hands-on AI / Automation Specialist to turn internal business needs into practical AI and automation solutions. Reporting to the Director of IT, this full-time role drives the internal AI roadmap, enterprise tooling adoption and cross-functional delivery.

The role combines process analysis, prototyping, rollout and change management, supported by strong documentation, data quality and responsible AI practices. Core tools include Microsoft 365, Copilot, Copilot Studio, Copilot Cowork, Power Automate, Power Apps, SharePoint, Teams and Entra.

KEY RESPONSIBILITIES

Key Responsibilities
Maintain a prioritized internal AI roadmap with the Director of IT, balancing impact, effort and quick wins. Evaluate build versus buy, favour existing Microsoft tools and track budget against outcomes.
Coordinate enterprise Copilot deployment, licensing, security configuration and onboarding with IT. Drive adoption through English and French training, playbooks, prompt libraries and workflow examples.
Build and deploy agents and workflow automation with functional owners, starting with an HR assistant and accounts payable, accounts receivable and order entry. Use Copilot Studio, Power Automate and SharePoint where practical.
Develop AI-enabled self-service over the Customer Support and TMaaS knowledge base. Support R&D adoption of AI in the software development lifecycle, including coding, testing and modernization tools.
Document processes and maintain accurate knowledge bases, using SharePoint as the primary repository. Coordinate safe integrations and retrieval from NetSuite, Salesforce Field Service and telemetry systems, with appropriate access controls.
Support responsible AI governance with IT, Legal and Finance: acceptable use, data handling, vendor review and human oversight. Assess sensitive workflows and maintain AI system and risk registers.
Support the AI Council and departmental champions, leading cross-functional discovery, pilots and rollout. Coordinate external development partners when required.
Define business cases and report adoption, cycle time, hours saved, self-service impact, quality and cost to the Director of IT and executive team. Validate benefits with functional owners and Finance.
Success is demonstrated through sustained tool adoption, deployed HR and finance automations, effective governance and measurable productivity gains agreed with Finance.

Trainning/ Experience/ Certification

5 or more years in IT, business systems, business analysis or process improvement roles, with demonstrable hands-on delivery of AI, automation or workflow tooling in the last 1-2 years.
Track record of taking cross-functional initiatives from idea to rollout, ideally in an industrial, IoT, hardware or field-service environment.
Hands-on experience building or configuring solutions on the Microsoft platform: Copilot and Copilot Studio agents, Copilot Cowork, Power Automate flows, Power Apps, SharePoint sites and lists, and Microsoft 365 integrations, working with external developers where needed.
Experience with change management and training programs that drove measurable adoption.

Skills and knowledge

Deep familiarity with the Microsoft 365 ecosystem (Copilot, Copilot Cowork, Power Platform, SharePoint, Teams, Entra) and working knowledge of the other enterprise systems used at Otodata (ERP, CRM and field service platforms), including security and data governance basics.
Working knowledge of LLMs, retrieval-augmented generation, agents and automation frameworks, and the judgement to know what is practical versus hype.
Strong process mapping and business analysis skills: able to take a problem raised by a team, analyze it, and propose a concrete AI or Power Automate solution; comfortable reading data and defining metrics.
Clear communicator who can translate AI concepts into business value for non-technical leaders and frontline teams.
Bilingual English and French is strongly preferred given Otodata's Montreal headquarters and manufacturing operations.

PRINCIPALES RESPONSABILITÉS

Maintenir, en collaboration avec le Directeur TI, une feuille de route IA interne priorisée en fonction de l’impact, des efforts requis et des gains rapides. Favoriser l’adoption grâce à des formations en français et en anglais, des guides d’utilisation, des bibliothèques de prompts et des exemples de flux de travail.
Concevoir et déployer des agents IA et des automatisations de processus avec les responsables fonctionnels, notamment pour les ressources humaines, les comptes fournisseurs, les comptes clients et la saisie de commandes. Utiliser Copilot Studio, Power Automate et SharePoint lorsque pertinent.
Développer des solutions d’autoassistance alimentées par l’IA à partir des bases de connaissances du Service à la clientèle et de TMaaS.
Soutenir l’adoption de l’IA au sein de la R-D dans le cycle de développement logiciel, notamment pour le codage, les tests et les outils de modernisation.
Documenter les processus et maintenir des bases de connaissances à jour en utilisant SharePoint comme référentiel principal. Coordonner les intégrations sécuritaires et la récupération de données à partir de NetSuite, Salesforce Field Service et des systèmes de télémétrie, tout en assurant les contrôles d’accès appropriés.
Participer à la gouvernance responsable de l’IA avec les équipes TI, Juridique et Finances, notamment en matière d’utilisation acceptable, de gestion des données, d’évaluation des fournisseurs et de supervision humaine. Évaluer les processus sensibles et maintenir les registres des systèmes IA et des risques associés.
Soutenir le Conseil IA et les champions départementaux en dirigeant des ateliers de découverte, des projets pilotes et des déploiements. Coordonner les partenaires de développement externes lorsque requis.
Définir les analyses de rentabilité et produire des rapports sur l’adoption des outils, les gains de productivité, les heures économisées, l’impact de l’autoassistance, la qualité et les coûts à l’intention du Directeur TI et de l’équipe de direction.
Mesurer la réussite à travers l’adoption durable des outils, le déploiement d’automatisations pour les RH et les Finances, une gouvernance efficace et des gains de productivité mesurables validés avec les Finances.

FORMATION, EXPÉRIENCE ET CERTIFICATIONS

Minimum de 5 ans d’expérience en technologies de l’information, systèmes d’affaires, analyse d’affaires ou amélioration des processus, avec une expérience pratique démontrée en IA, automatisation ou outils de flux de travail au cours des 1 à 2 dernières années.
Expérience avérée dans la réalisation de projets transversaux, de l’idéation jusqu’au déploiement, idéalement au sein d’un environnement industriel, IoT, manufacturier, matériel ou de services sur le terrain.
