Purpose and Scope:
The Administrative Coordinator is a hands-on, highly visible, get-things-done role that supports the day-to-day operations of the office, the Senior Executive Assistant to the CEO, and various departments across Peak. This is a varied role where no two days are the same. You may be coordinating a meeting or event one day and helping with a delivery, picking something up, organizing supplies, or assisting with an unexpected request the next. The role requires someone who is comfortable pitching in wherever needed and understands that the small things often make a big difference. The ideal candidate is proactive, approachable and resourceful. You enjoy being a go-to person, taking initiative, and are comfortable moving between administrative work, projects, events and practical day-to-day tasks.
Responsibilities
- Act as a welcoming and professional first point of contact for visitors, vendors and stakeholders
- Provide administrative and project support to the Senior Executive Assistant to the CEO
- Assist with scheduling, meeting coordination, document preparation and day-to-day priorities
- Assist with HR-related administrative tasks, recruiting and employee communications as required
- Coordinate Peak packing parties, including scheduling, communications and onsite logistics
- Coordinate Rosie the MB Red Potato appearances, including scheduling, transportation, event details and logistics
- Support Marketing & Communications with internal communications, events, promotional materials and special projects
- Participate in and support the Social Committee, including employee events and celebrations
- Manage incoming and outgoing mail, couriers, office supplies, vendors and general office needs
- Assist with occasional business and personal errands, pickups, deliveries and other practical requests
- Help with event setup, takedown and onsite logistics
- Maintain organized files, records and databases
- Support other departments and take on additional projects and priorities as needed.
Qualifications
- 2–4 years of related administrative experience
- Post-secondary education in administration, business, communications or a related field is an asset
- Valid driver’s license and reliable access to a vehicle
- Proficient with Microsoft Office (Outlook, Teams, Excel, OneDrive) and comfortable learning new technology
- Canva experience is an asset
- Excellent organizational, communication and interpersonal skills
- Strong attention to detail and ability to manage multiple priorities
- Proactive, resourceful and comfortable taking initiative
- Approachable and comfortable working with people throughout the organization
- Flexible and willing to pitch in wherever needed
- Strong problem-solving skills and a “get it done” attitude
- Ability to handle confidential information with discretion and professionalism
- Comfortable with occasional evenings or weekends for events and special activities
- Comfortable assisting with onsite events and occasional physical setup/takedown
Hours: Monday to Friday, 8:00 a.m. to 4:00 p.m.
Salary: $55,000 to $60,000 per year
