Original job description

Peakhill Project Advisory (PPA) is a full-service development and project management firm, based in Toronto. We provide expert advisory from feasibility through delivery to hand-over, offering end- to-end support for real estate execution. Our clients include corporations and REITs, real estate developers, landowners and private owners, institutional investors, government agencies and public institutions, and insurance/bonding companies and insolvency experts. As part of the Peakhill platform, PPA is also a trusted lending partner and financial analysis expert, bringing capital insight to every stage of a project.

POSITION SUMMARY

The Business Development Coordinator will support the identification and development of new opportunities for PPA. The Coordinator will help identify projects and development clients that align with PPA’s services, maintain accurate and up-to-date CRM records, and coordinate proposal preparation to ensure that all submissions are complete, compliant and delivered on time.

The candidate can be based in Toronto, Montreal or Calgary.

KEY RESPONSIBILITIES

Opportunity research: PCI database (10 to 20%)

  • Mine the PCI database regularly for upcoming projects, active developers, owners and capital programs that match PPA’s services and sectors
  • Screen and qualify leads by project type, value, stage, location and client, and flag the strongest for follow-up
  • Present a regular shortlist of opportunities and target development clients to the Head of Business Development, with a short brief on each
  • Build and maintain target lists of development clients and their project pipelines

CRM management (10%)

  • Log every qualified lead and pursuit in the CRM and keep it current from lead through proposal, award or loss
  • Keep client, contact and opportunity records accurate: stage, value, decision date, competitors and outcome
  • Produce the regular pipeline report and pursuit status summary for the BD team

Proposals and pursuits (about 25%)

  • Work closely with the PPA Public Sector Lead on public-sector RFQs and RFPs, and with the Head of Business Development on private and development-client pursuits
  • Build the compliance matrix and response schedule for each submission, and follow-up with contributors against it
  • Assemble proposals, statements of qualifications and interview presentations; tailor resumes, project sheets and case studies
  • Format to brand standards, run final quality and compliance checks, and manage on-time submission
  • Prepare go/no-go summaries and record debriefs and win/loss reasons after each decision

Market research and content (about 20%)

  • Research target clients, developers, competitors and public-sector procurement plans, and summarize findings for the BD team
  • Maintain the proposal content library: boilerplate, resumes, project descriptions, photos, references and certifications
  • Monitor public procurement portals and track PPA registrations and pre-qualifications so they stay current

Client development and events (about 15 to 20%)

  • Support outreach to development clients: meeting preparation, capability material and follow-up notes in the CRM
  • Coordinate conferences, client events and association memberships, including logistics, materials and attendee lists

QUALIFICATIONS

Required

  • Diploma or degree in construction, business, marketing, communications or a related field
  • 1 to 3 years in a business development, proposal, marketing, sales support or project coordination role
  • Comfortable working with data: searching, filtering and summarizing large project databases and spreadsheets
  • Non-tradition working hours from time to time, after hours work for industry events and new client opportunities
  • Strong writing and editing skills, with a sharp eye for detail and compliance
  • Able to manage several deadlines at once and follow up with senior staff confidently
  • Advanced Word, Excel and PowerPoint

Assets

  • Hands-on CRM experience (Salesforce or similar)
  • Familiarity with public-sector procurement (RFQ/RFP, prequalification) and with how real estate development projects move from concept to construction
  • Construction industry background, for example project coordination, estimating, site administration or work at a construction management, engineering or development firm
  • Adobe InDesign or other layout tools
