Original job description
Monday–Friday, 8:30 AM–5:00 PM · Start: October
Build and Lead a Brand-New Medical Centre from Day One
This isn't a management job at an established clinic where everything is already decided. Our client is opening a new family medicine centre in central Vancouver Island, with four physicians beginning practice November 1 - and they're hiring the founding Clinic Manager now.
That means you won't inherit someone else's systems - you'll build them. As Clinic Manager, you'll shape the vision, workflows, and standards of a medical centre that will meaningfully improve the quality of care available in the region, and lead the team that brings it to life.
The Role
As Clinic Manager, you'll oversee the day-to-day operations of the clinic and lead a founding MOA team supporting four family physicians (each seeing roughly 20–30 patients per day). Your responsibilities will include:
- Overall clinic operations - keeping the front desk, back office, and clinical areas running smoothly and stepping in wherever needed
- Hiring, training, scheduling, and supervising the MOA team, including performance management and coverage planning
- Creating and implementing the clinic's policies, procedures, and workflows from the ground up
- Overseeing patient booking, scheduling templates, and referral management in the Med Access EMR, including initial EMR setup and configuration
- MSP billing oversight - submissions, reconciliations, rejections, and remittances
- Privacy and compliance, ensuring the clinic meets its obligations under BC's PIPA and college standards
- Vendor and supplier management - medical and office supplies, equipment, inventory, and service contracts
- Serving as the primary liaison between the physicians and the administrative team, and handling escalated patient concerns
- Coordinating clinic setup, orientation, and opening logistics ahead of the November 1 launch
Compensation & Schedule
- $80,000+ per year, with final salary set according to your experience and the scope you can take on (e.g., hands-on MSP billing, HR administration)
- Full-time, permanent - Monday to Friday, 8:30 AM to 5:00 PM (no evenings, no weekends)
- Paid professional development, such as support for attending training courses and workshops
- October start: early-to-mid November for EMR setup and team hiring, late November for clinic orientation and setup.
What We're Looking For
- 3+ years of medical office experience, with at least 1–2 years in a supervisory, team lead, or clinic management role
- Working knowledge of MSP billing (submissions, rejections, reconciliation) - a strong asset, and reflected in salary if you take it on directly
- Experience with Med Access (or another major EMR such as OSCAR, Accuro, or Telus PS Suite) is a strong asset
- Strong computer skills - this is essential. You should be genuinely comfortable with Microsoft Word, Excel, and Adobe, and enthusiastic about using modern virtual tools (e.g., Google Docs) to build and organize clinic workflows, policies, and procedures
- A builder's mindset and self-initiative - you see what needs doing and do it, especially important in a brand-new clinic
- A confident, personable leader and communicator, trusted by physicians, staff, and patients alike
