Start Date: ASAP

Schedule: Monday to Friday, 8:30 AM – 4:30 PM; Maximum 7.25 Hours/Day)

Rate: $48/hr T4 OR $60/hr Inc.

Position Overview

Our client is currently seeking an experienced IT Project Coordinator to support multiple IT infrastructure initiatives, working closely with Project Managers, technical teams, vendors, contractors, Facilities and business stakeholders to coordinate project schedules, resources, budgets, documentation and deliverables. Projects will involve a variety of technology and infrastructure initiatives, including server and database upgrades, network infrastructure deployments, cabling and equipment installations, as well as technology implementations supporting new buildings, renovations and existing facilities. The ideal candidate will bring a strong background in IT infrastructure project coordination, exceptional organizational and communication skills, and, most importantly, advanced hands-on experience with Microsoft Project and complex project scheduling.

Key Responsibilities

  • Develop, maintain and manage detailed project schedules using Microsoft Project, including Gantt charts, task dependencies, critical paths, slack and resource assignments.
  • Coordinate IT infrastructure projects involving server and database upgrades, network deployments, cabling and technology installations.
  • Monitor project milestones, deliverables, budgets, procurement activities and resource requirements.
  • Collaborate with Project Managers, technical teams, vendors, contractors and Facilities to coordinate project activities and dependencies.
  • Schedule and facilitate project meetings, prepare agendas, document decisions and track follow-up action items.
  • Maintain comprehensive project documentation, including schedules, status reports, risk and issue logs, change requests and project plans.
  • Monitor project progress, identify potential delays, scheduling conflicts and project risks, and escalate issues as required.
  • Coordinate testing, implementation, cutover activities and operational handovers.
  • Support project closeout activities, documentation and lessons learned.

Required Qualifications & Experience

  • Post-secondary diploma or degree in Project Management, Business Administration, Computer Science, Information Technology, Engineering Technology or a related discipline.
  • Minimum 3 years of experience coordinating IT or technology infrastructure projects within a complex organizational environment.
  • Minimum 3 years of hands-on Microsoft Project experience, with demonstrated proficiency in developing and maintaining detailed project schedules and Gantt charts, managing task dependencies, including Start-to-Start, Finish-to-Start and other dependency types, understanding effort-driven versus duration-based scheduling, and identifying and managing critical paths, slack, scheduling constraints and resource assignments.
  • Experience coordinating IT infrastructure initiatives such as server upgrades, database upgrades, network installations and technology deployments.
  • Strong understanding of project management methodologies, scheduling practices, documentation, risk management and change control.
  • Experience coordinating technical teams, external vendors, contractors and internal stakeholders.
  • Excellent organizational, time management and problem-solving skills.
  • Strong written and verbal communication skills.
  • Ability to manage multiple concurrent projects, prioritize competing demands and work independently.

Please Note: Advanced Microsoft Project scheduling expertise is a mandatory requirement. Candidates must be able to demonstrate practical experience developing and managing complex project schedules, rather than simply having familiarity with the software.

Preferred Qualifications

  • CAPM, PMP or PRINCE2 certification or formal training.
  • Experience working within an IT Project Management Office (PMO).
  • Familiarity with Microsoft Planner Premium and its AI capabilities.
  • Experience coordinating infrastructure projects involving new construction, renovations or facility expansions.
  • Experience with procurement coordination, budget tracking, project reporting and operational transitions.

Please ensure your resume clearly demonstrates experience with detailed Gantt charts, task dependencies, critical-path analysis, slack management and resource planning.
