Description

The Executive Assistant will serve as a trusted partner to the CEO with room to grow throughout the company. The individual will provide high-level administrative and operational support in a fast-paced, dynamic environment. This hybrid role is based in our Coquitlam executive office, with an expectation of three days onsite per week.

At Photonic, you will have a front-row seat to one of the most exciting technology challenges of our time. We're building a distributed quantum computing platform that has the potential to transform scientific discovery, artificial intelligence, national security, and other computationally intensive fields.

The ideal candidate is an experienced Executive Assistant who demonstrates exceptional judgment, discretion, attention to detail, and communication skills. They are proactive, highly organized, and able to anticipate needs, solve problems, and manage competing priorities with confidence and professionalism. Comfortable operating in an environment where priorities can shift quickly, this individual is resilient, and adaptable. They bring a calm, solutions-focused approach, maintain strict confidentiality, and thrive supporting a high-performing executive and organization.

What We Need You To Do

Manage scheduling for CEO, including agendas, mail, email, phone calls, client management, and other company coordination.
Schedule meetings and appointments and manage travel itineraries.
Coordinate executive communications and responding to emails and interfacing with clients.
Plan and orchestrate work to ensure that senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld.
Prepare internal and external corporate documents for team members and industry partners.
Track daily expenses and prepare weekly, monthly, or quarterly reports.
Manage information flow in a timely and accurate manner.
Maintain an organized filing system of electronic documents.
Uphold a strict level of confidentiality.
Develop and sustain a level of professionalism among staff and clientele.

What You Bring To Our Team

Minimum of 8-10 years of experience in a senior administrative role working with executive leadership
Strong time management skills and an ability to organize and coordinate multiple concurrent projects.
Ability to main confidentiality of information related to the company and its employees.
Advanced Microsoft Office skills, with an ability to become familiar with other programs and software.
Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
This role is best suited for someone who enjoys working closely with a driven executives, thrives in a fast-paced environment, and takes pride in bringing order, foresight, and calm to complex situations
Attention to detail.
Excellent verbal and written communication skills
