Location: British Columbia, Canada (Hybrid)

Compensation: CA$71,000 - CA$97,600 / year

Description

Photonic is shaping the future of quantum technology, powered by a diverse team of world-class scientists, engineers, and professionals committed to breakthrough innovation. As we continue to scale, our People & Culture team is at the forefront of that growth. We are seeking a highly organized HR Coordinator who thrives on keeping things running smoothly. In this role, you’ll support the full employee lifecycle, from onboarding and benefits administration through day-to-day people operations and recruitment coordination. You’ll partner closely with the People & Culture team, managers across the business, and recruiters to deliver a great employee experience, keep HR processes and records accurate, and help our growing team get the support it needs.

Please include a cover letter with your resume (in one file) describing how you would be a great fit at Photonic and what attributes you could bring to our growing team.

What We Need You To Do

Onboarding & Offboarding

Coordinate the end-to-end onboarding process for new hires: prepare employment paperwork, arrange equipment and system access with IT, and schedule orientation so every new hire has a great first day.
Manage pre-start communications and onboarding logistics, including for new hires relocating to join Photonic.
Deliver new hire orientation sessions and coordinate check-ins at key milestones to gather feedback and continuously improve the onboarding experience.
Coordinate offboarding activities, including exit documentation, access removal, and exit interviews.

Benefits Administration

Administer benefits enrollments, changes, and terminations with our benefits providers, ensuring timely and accurate processing.
Act as a first point of contact for employee questions about benefits, including extended health, dental, life, long term disability, the employee assistance program, and the flexible spending account.
Support leave administration, including parental leave and associated top-ups, in partnership with payroll.
Reconcile monthly benefits invoices, maintain benefits data in the HRIS, and support the annual benefits renewal process.

People Operations Support

Maintain accurate employee records in the HRIS and process employee lifecycle changes (e.g., new hires, promotions, compensation changes, terminations), providing timely and accurate data to payroll.
Prepare employment letters, contract amendments, and other HR documentation.
Respond to employee and manager inquiries about HR policies, programs, and processes, escalating complex matters as appropriate.
Support HR reporting, audits, and compliance with applicable employment standards and privacy requirements.
Help plan and deliver People & Culture programs and initiatives, including engagement surveys, learning programs, and social events.

Recruitment Coordination

Coordinate interview scheduling and logistics across candidates, recruiters, and hiring teams, ensuring a smooth and professional candidate experience.
Prepare and post job descriptions on the ATS and job boards; ensure formatting and posting settings are accurate and consistent.
Support recruiters with targeted sourcing, using LinkedIn Recruiter and Boolean search to build candidate pipelines for priority and hard-to-fill roles.
Maintain clean, accurate candidate records and activity notes in the ATS to ensure reporting, compliance, and process consistency.
Conduct reference checks with professionalism and discretion and assist with offer document preparation.

What You Bring To Our Team

3+ years of experience as an HR Coordinator, HR Assistant, Recruiting Coordinator, or in a similar People Operations role.
Post-secondary degree or diploma in Human Resources, Business Administration, or a related field.
Experience across the employee lifecycle, ideally including onboarding, benefits administration, and recruitment coordination.
Hands-on experience with HRIS and ATS platforms; familiarity with LinkedIn Recruiter or comparable sourcing tools is an asset.
Strong written communication and attention to detail, with a commitment to accurate, well-organized employee data.
Highly organized and able to manage multiple requests and shifting priorities in a fast-paced environment.
Sound judgment and discretion when handling sensitive and confidential information.
Keen to learn and excited about a career in the People and Culture space.

An Exceptional Candidate Will Bring

Working knowledge of British Columbia employment standards and Canadian group benefits plans.
Experience supporting a fast-growing technical or research-heavy organization (engineering, hardware, deep tech).
Experience with Boolean search and sourcing for technical or niche roles.
CPHR designation (or progress toward it) or post-secondary education in Human Resources.

WHY YOU SHOULD WORK WITH US

Work closely with some of the brightest innovators in quantum technologies to drive breakthroughs that redefine computing
Enjoy a fast-paced and fun environment where you can try new things while solving innovative challenges every day
Inclusive company culture that values collaboration
Regular social events and fun activities keep our global team connected
Competitive compensation package including base salary, stock options, and relocation assistance for global talent
Comprehensive benefits including extended health, dental, life, long term disability, an employee assistance program, parental leave top-ups, and a flexible spending account

The description above is what we think an ideal candidate would look like for this role. At Photonic, we understand that everyone has a different work and life journey. If you feel your experience is close to what we've described, but you might not meet all the requirements, please still apply! All roles listed are for current vacancies. While artificial intelligence (AI) tools may be used to assist in reviewing applicant profiles, they do not determine candidate outcomes. Our hiring decisions are made by people, not algorithms. We are committed to fostering, cultivating, and preserving a culture of equity, diversity, and inclusion. We embrace and encourage our employees’ differences, knowing that these very differences inspire innovation and build better teams. If there are any accommodations our team can make throughout our hiring process, please let us know.
