The IT Coordinator supports the day-to-day operations of the IT department by tracking projects and tasks assigned to IT team members and providing regular updates to the Lead System Administrator and Director of IT.

This role is responsible for a range of administrative and operational activities, including invoicing, project tracking, performance reporting, technical procurement, service tracking, vendor relations, and logistics. The IT Coordinator helps ensure smooth service delivery by coordinating purchases, vendor quotes, renewals, and cross-location support needs.

This is a full-time, on-site position based at the FOLKS VFX office in Montreal.

Key Responsibilities

IT Operations & Project Coordination

Log, monitor, prioritize, and follow up on IT service requests and projects.
Track and report on key performance indicators, including service-level agreements (SLAs), issue-resolution times, project milestones, and team workload.
Support efficient task management and timely project delivery across the IT team.
Act as a liaison between IT teams across locations and support internal IT communications.
Coordinate onboarding, account creation, reactivations, and offboarding in collaboration with Human Resources and Production teams.
Coordinate renewals for software, plugins, hardware, and cloud-based services to ensure continuity of service.
Coordinate IT team schedules across locations to help maintain global support coverage.

Procurement & Financial Management

Coordinate IT procurement across multiple locations, including hardware, software, services, and related equipment.
Work closely with Finance to track, reconcile, and report purchases, ensuring budget compliance and accurate financial records.
Process invoices, reconcile expenses, and support credit-card reporting.
Request, compare, and coordinate vendor quotes to secure the best value for the business.
Maintain strong relationships with vendors, suppliers, and service providers.

Required Skills & Qualifications

Strong organizational and administrative skills, with the ability to manage multiple priorities and maintain accurate records.
Familiarity with IT asset management, software licensing, procurement processes, and service request systems.
Excellent attention to detail, particularly when processing invoices, reconciling expenses, and tracking financial information.
Clear and professional communication skills when working with internal teams, vendors, and service providers.
Fluency in both French and English, written and spoken.

Experience & Education

At least two years of experience in IT procurement, project coordination, or administrative support within a technical or creative environment.
Familiarity with project-tracking tools, procurement platforms, and IT service-management software.

Le ou la coordonnateur·rice TI soutient les opérations quotidiennes du département des technologies de l’information en assurant le suivi des projets et des tâches confiés aux membres de l’équipe TI, et en fournissant des mises à jour régulières au ou à la Lead System Administrator ainsi qu’à la direction TI.

Cette personne est responsable d’un éventail d’activités administratives et opérationnelles, notamment la gestion des factures, le suivi des projets, la production de rapports de performance, les achats techniques, le suivi des services, les relations avec les fournisseurs et la logistique. Principales responsabilités

Opérations TI et coordination de projets

Enregistrer, suivre, prioriser et assurer le suivi des demandes de service et des projets TI.
Suivre et produire des rapports sur les principaux indicateurs de performance, notamment le respect des ententes de niveau de service (SLA), les délais de résolution, les jalons de projets et la charge de travail de l’équipe.
Soutenir une gestion efficace des tâches et la livraison des projets dans les délais.
Agir comme personne-ressource entre les équipes TI des différents sites et soutenir les communications internes du département.
Coordonner l’accueil des nouveaux employés, la création et la réactivation de comptes, ainsi que les départs, en collaboration avec les équipes des ressources humaines et de production.
Coordonner les renouvellements de logiciels, de plug-ins, de matériel et de services infonuagiques afin d’assurer la continuité des services.
Coordonner les horaires des équipes TI dans les différents sites afin de contribuer à une couverture de soutien à l’échelle mondiale.

Approvisionnement et gestion financière

Coordonner les achats TI pour plusieurs sites, y compris le matériel, les logiciels, les services et les équipements connexes.
Travailler étroitement avec l’équipe des finances afin de suivre, concilier et produire des rapports sur les achats, tout en assurant le respect des budgets et l’exactitude des dossiers financiers.
Traiter les factures, concilier les dépenses et soutenir la production de rapports liés aux cartes de crédit.
Demander, comparer et coordonner les soumissions des fournisseurs afin d’obtenir le meilleur rapport qualité-prix.
Maintenir de bonnes relations avec les fournisseurs, les prestataires de services et les partenaires externes.

Compétences et qualifications requises

Excellentes aptitudes administratives et organisationnelles, avec la capacité de gérer plusieurs priorités et de maintenir des dossiers précis.
Connaissance de la gestion des actifs TI, des licences logicielles, des processus d’approvisionnement et des systèmes de demandes de service.
Grande attention aux détails, particulièrement dans le traitement des factures, la conciliation des dépenses et le suivi de l’information financière.
Excellentes habiletés de communication et de collaboration avec les équipes internes, les fournisseurs et les prestataires de services.
Maîtrise du français et de l’anglais, tant à l’oral qu’à l’écrit.

Expérience et formation

Au moins deux ans d’expérience en approvisionnement TI, coordination de projets ou soutien administratif dans un environnement technique ou créatif.
Connaissance des outils de suivi de projets, des plateformes d’approvisionnement et des logiciels de gestion des services TI.
