Reporting to the Coordinator, the incumbent is responsible for preparing, reviewing for compliance, and issuing subcontracts for construction projects across Canada. They ensure that all required documentation is obtained and validated, maintain the integrity and accuracy of contractual records, and ensure compliance with internal processes and applicable requirements.

Responsibilities

Generate subcontracts using established templates and processes;
Review contractual documentation for compliance prior to issuance;
Review and validate the required administrative and legal documentation provided by subcontractors;
Ensure the collection, compilation, and maintenance of compliance documentation, including but not limited to licences, insurance certificates, bonds, tax compliance certificates, and other required documents;
Validate the accuracy of subcontractor and contract information prior to approval;
Collaborate with project teams and other functions to ensure contract files are complete and compliant;
Contribute to the continuous improvement of processes and tools related to subcontract administration.

Education, Qualifications And Experience

Hold a College Diploma (DEC) in Business Administration, Paralegal Technology, Accounting, Project Management, or a related field;
Have 2 to 5 years of experience in an administrative, contract administration, or compliance-related role;
Demonstrate excellent proficiency in Microsoft Office Suite and contract management software (CMiC, Textura, etc.);
Demonstrate a strong attention to detail, thoroughness, and accuracy;
Possess strong organizational skills and the ability to manage multiple files and priorities simultaneously;
Demonstrate sound judgment and a strong commitment to confidentiality;
Possess strong communication skills and a customer-service-oriented approach when working with internal stakeholders;
Knowledge of the construction industry and contractual documentation is considered an asset;
Ability to work effectively in a fast-paced environment with tight deadlines.
