We are currently seeking a highly organized and detail-oriented Permit Coordinator to join our Operations team. This position plays an important role in ensuring that specialized shipments are properly permitted, compliant, and prepared for safe transportation.
Position Summary
The Permit Coordinator is responsible for obtaining and coordinating the permits, approvals, and documentation required for the movement of oversized, overweight, and specialized loads.
Working closely with Dispatch, Operations, drivers, customers, and government authorities, the Permit Coordinator will review load specifications, identify permit and routing requirements, secure the appropriate documentation, and communicate any restrictions or special conditions associated with each shipment.
The ideal candidate is highly organized, comfortable working in a fast-paced transportation environment, and able to manage multiple time-sensitive permit requests while maintaining a high level of accuracy.
Key Responsibilities
- Apply for and obtain oversize and overweight permits for specialized shipments across applicable Canadian and U.S. jurisdictions.
- Review shipment specifications, including dimensions, weight, axle configuration, origin, destination, and proposed routing, to determine permit requirements.
- Coordinate permits with provincial, state, municipal, and other regulatory authorities as required.
- Review approved permits carefully and communicate all applicable routing restrictions, travel windows, curfews, escort requirements, and special conditions to Operations and drivers.
- Work closely with Dispatch and Operations to ensure permits are secured before scheduled departures.
- Assist with route planning by identifying potential restrictions involving bridge clearances, road limitations, construction zones, seasonal restrictions, weight restrictions, and other obstacles.
- Determine when pilot cars, escorts, utility coordination, or additional approvals may be required.
- Monitor permit expiration dates and ensure documentation remains valid throughout the movement of the load.
- Maintain accurate electronic records of permits, approvals, correspondence, and supporting documentation.
- Provide drivers with the required permit packages and ensure documentation is complete prior to departure.
- Respond quickly to last-minute changes involving routes, dimensions, weights, schedules, or permit requirements.
- Communicate with government agencies and permitting authorities to resolve issues or obtain clarification when necessary.
- Stay informed of changes to provincial, state, and federal regulations affecting oversized and overweight transportation.
- Support Operations with additional administrative and compliance-related responsibilities as required.
Qualifications & Experience
- Previous experience in transportation, trucking, logistics, dispatch, permitting, or specialized transportation is strongly preferred.
- Experience obtaining oversize/overweight permits is considered a strong asset.
- Knowledge of specialized transportation, heavy haul, open-deck, or oversized freight is an asset.
- Familiarity with Canadian and/or U.S. transportation regulations and permitting requirements is preferred.
- Strong geographical knowledge and an understanding of transportation routing.
- Comfortable working with online permitting systems, transportation software, and Microsoft Office applications.
- Strong written and verbal communication skills.
- Excellent attention to detail and ability to work accurately with dimensions, weights, dates, routes, and regulatory documentation.
- Strong organizational and time-management skills.
- Ability to manage multiple shipments and priorities simultaneously.
- Ability to work independently while collaborating closely with Dispatch and Operations.
