Job details

Original job description

Location: Toronto, In Office Role

Posting type: Existing vacancy, replacement role. We are filling a vacancy within one of our clients.

Compensation: $75,000 to $100,000 + annual performance-based bonus

Use of AI: We do not use AI in the screening and interviewing process. A member of our team reads your resume and meets with you.

About this Role

Most office roles are about checking boxes. This role is about owning the environment. You are the heartbeat of the office and the face of the firm’s hospitality. In this role, you aren't just managing tasks; you are curating a high-end client experience and keeping the operational rhythm of the firm moving perfectly. Our client is looking for someone with a "pride of ownership" mindset and someone who treats the office and the needs of our leadership team as if they were their own. You thrive on sweating the small stuff so the leadership team can focus on the big picture.

What Your Day Actually Looks Like

Morning: You arrive and walk the floor. You reset a meeting room, check that the coffee machine is spotless, and ensure the front reception area feels like a luxury lounge.
Mid-Morning: You’re prepping physical file folders and labels for a client meeting, then hopping into the CRM to update a client's profile with their upcoming anniversary.
Lunch: You’re coordinating lunch for a board meeting, making sure the dietary requirements are met, the order is perfect, and the presentation is top-tier.
Afternoon: You’re booking a complex travel itinerary, then calling an electrician to troubleshoot a building issue because you noticed a light was out or the security gate wasn’t locking properly.

You aren't just "answering phones." You are managing the environment, the experience, and our teams peace of mind.

You'll Thrive Here If...

You Have a "Pride of Ownership" Mindset: You notice the dusty shelf or the jammed printer before anyone else does and you fix it. You solve problems before leadership even knows they exist.
You're a Discreet Confidant: You understand that trust is the currency of this role. You handle sensitive information with a high level of confidentiality and poise.
You’re Tech-Savvy but High-Touch: You love a good CRM and a digital calendar to keep things organized, but you also know that a handwritten note or a perfectly timed greeting is what wins people over.
You’re a Master Switch-Tasker: You can handle the "unglamorous" stuff (ordering bottled water and tracking sick time) with the same level of polish and poise as you do when greeting a client.

The Trade-Off

The bar is incredibly high. This role requires you to be on-site and fully present because you are the face of their firm. You’ll be expected to anticipate needs before they are even spoken, which takes a lot of mental energy and a relentless attention to detail. They are a family-owned, privately-held company with a fast-paced, entrepreneurial spirit. If you thrive on autonomy and love being the person everyone relies on, you’ll find it deeply rewarding; but if you're looking for a slow, "by-the-book" corporate desk job, this isn't it.

The Perks

Culture & Stability: Join a stable, reputable, and female-led firm built on values of stewardship, integrity, and long-term relationships. They have a culture that genuinely prioritizes work-life balance and the well-being of our people.
A Beautiful Work Environment: Work in a beautiful, modern office in Rosedale, steps from the Yonge subway line and right beside one of Toronto’s most scenic parks.
True Impact: You aren't a cog in a machine. When the office runs well, it’s because of you.
Professional Growth: You’ll see every facet of the business, from building management and HR tracking to client relations and executive strategy.
Compensation That Reflects Impact: We value the "heartbeat" of our office. Your compensation is competitive and bonus reflects the stability and excellence you bring to the team. They also provide excellent health and wellness benefits, plus a top-tier RRSP matching program to support your future.
On-Site Wellness: Enjoy access to a premium on-site fitness facility to help you stay at your best.

How to Apply

Skip the generic cover letter. With your resume, send an email to adryfhout@primarypeoplegroup.com telling us about a time you noticed a small detail that everyone else missed, and how you took the initiative to fix it.
