Executive Assistant:

On behalf of our Banking client, Procom is searching for an Executive Assistant for a 2 month contract role. This position is a hybrid position with 4 days onsite at our client’s Toronto office.

Executive Assistant - Job Description:

The Executive Assistant performs a variety of administrative and clerical tasks, financial and human resources administration, and provides professional support to one or more Managers and their direct reports. The role ensures all administrative and operational processes and control standards are followed, contributing to the effective and efficient operation of the business group.

Executive Assistant - Responsibilities:

Leads the planning, coordinating, and implementing department events.

Provides senior-level administrative and operational support within a large, diverse team including one or more senior executives.

Employs systems to manage information and integrates information from multiple sources.

Provides input into the planning and implementation of administrative programs.

Gathers and formats data into regular and ad-hoc reports and dashboards.

Coordinates and monitors budgets and reporting on results vs. budget.

Manages and monitors calendars, dispatches meeting invitations, and arranges resources for meetings.

Develops and maintains a filing system and ensures documentation is readily available.

Processes invoices for payment and prepares departmental expense claims and reports.

Makes travel arrangements and coordinates training requirements for staff.

Liaises with internal business units and external vendors for premises and building-related matters.

Maintains supplies inventory and tracks staff vacations and absences.

Executive Assistant - Mandatory Skills:

5-7 years of relevant experience in an administrative/professional support function.

Specialized knowledge from education and/or business experience.

In-depth verbal & written communication skills.

In-depth collaboration & team skills.

In-depth analytical and problem-solving skills.

In-depth attention to detail & organizational skills.

Executive Assistant – Nice-to-Have Skills:

Experience in financial and human resources administration.

Experience with event planning and coordination.

Familiarity with project management tools and software.

Experience in coaching and mentoring junior staff.

Ability to think creatively and propose new solutions.

Executive Assistant – Assignment Length:

This is a 2 month contract position.

Executive Assistant - Start Date:

ASAP.

Toronto, Ontario, Canada. This position is hybrid with 4 days in the office.
