Project Manager

On behalf of our client, Procom is seeking a Project Coordinator for a contract role in Vancouver BC.

The experienced Project Coordinator to provide flexible coordination support across a range of business, service-delivery, operational and technology-enabled initiatives, as well as broader Project Management Office (PMO) activities. The successful resource will work across multiple assignments and may coordinate work packages or lead smaller, lower-complexity projects that do not have a dedicated project manager or coordinator.

The Project Coordinator will work to support strategic initiatives. The Project Coordinator will provide services as assigned by the PMO Manager and project leads. Responsibilities may include:

Developing and maintaining project charters, plans, schedules, work breakdown structures, budgets, resource plans and status reports.
Coordinating meetings, agendas, materials, minutes, decisions, action items and follow-up with project teams and stakeholders.
Maintaining project logs and controls, including risks, issues, dependencies, changes, decisions, milestones and deliverables.
Monitoring progress against approved plans, identifying variances or emerging concerns, and escalating them promptly with practical recommendations.
Preparing clear project communications, presentations, briefing materials, dashboards and other correspondence for varied audiences.
Coordinating procurement and vendor administration, including purchase orders, invoices, contract documentation, deliverable tracking and onboarding/offboarding activities.
Supporting project financial administration, forecasting, resource tracking, document management and records organization.
Coordinating stakeholder engagement, workshops, testing, implementation, readiness, training and change-management activities, as applicable.
Leading assigned work packages or smaller projects by establishing a fit-for-purpose plan, coordinating contributors, tracking commitments and driving work to completion.
Supporting PMO portfolio reporting, governance processes, templates, standards, intake, prioritization and continuous improvement activities.
Performing other project coordination and PMO duties consistent with the role.

KEY ACCOUNTABILITES:

Accurate, current and well-organized project plans, schedules, logs, reports and repositories.
Timely coordination of meetings, actions, decisions, dependencies and stakeholder communications.
Assigned work packages and smaller projects advanced to agreed scope, schedule, budget and quality expectations.
Proactive identification and escalation of risks, issues, delays and capacity constraints.
Consistent use of PMO processes, templates, controls and information-management practices.
Reliable, collaborative support that reduces administrative burden on project managers and enables informed decision-making.

QUALIFICATIONS:

Minimum five years of progressively responsible project coordination or comparable project delivery experience.
Demonstrated experience supporting multiple concurrent projects and shifting priorities with limited supervision.
Experience across a range of project types, such as business process, service delivery, organizational change, operational improvement and technology-enabled initiatives.
Strong working knowledge of project planning, scheduling, governance, risk and issue management, financial tracking, reporting and document control.
Excellent organization, judgment, written communication, facilitation and stakeholder-management skills.
Demonstrated initiative, accountability and ability to anticipate needs, solve problems and follow through without close day-to-day direction.
Proficiency with Microsoft 365 tools, including Word, Excel, PowerPoint, Teams and SharePoint; experience with project scheduling or portfolio tools is an asset.
Project management or project coordination certification is an asset, as is experience in the public, justice, legal-services or broader social-services sectors.
