We are seeking an experienced Payroll Specialist to manage accurate and timely biweekly payroll for approximately 600 employees across Canada and the United States.
The successful candidate will be responsible for the full payroll cycle, ensuring compliance with applicable legislation and company policies while maintaining accurate payroll records and reporting.
This role is ideal for a payroll professional who is highly detail-oriented, comfortable working with Ceridian Dayforce, and enjoys identifying opportunities to improve payroll processes and efficiency.
Key Responsibilities
Payroll Processing
- Process biweekly Canadian and U.S. payroll for approximately 600 employees using ADP Ceridian Dayforce.
- Review timesheets for accuracy and completeness and follow up with employees and managers regarding discrepancies or missing information.
- Calculate and verify irregular earnings, deductions, and other payroll adjustments.
- Reconcile payroll inputs against appropriate source documentation.
- Review payroll outputs for accuracy and investigate and correct discrepancies.
- Process employee garnishments and other statutory deductions.
- Calculate and process taxable benefits, statutory holiday pay, shift premiums, on-call pay, employee tool loans, and other payroll-related items.
- Process Records of Employment (ROEs).
- Prepare payroll journal entries and record them in Sage 50.
- Calculate and remit WSIB premiums.
- Identify and implement payroll process improvements.
Month-End & Year-End Responsibilities
- Calculate and remit monthly WSIB premiums.
- Process benefit invoices and reconcile employee benefit premiums against payroll deductions.
- Review pension adjustment calculations and verify accuracy on T4s.
- Prepare and administer year-end payroll forms, including T4s and T2200s.
- Complete annual EHT and WSIB reconciliations.
- Review PIER reports and process corrections as required.
- Review and maintain Dayforce configuration, including pay calendars, statutory holidays, earnings, and deductions.
- Update benefit plan costs within Dayforce.
- Review vacation entitlement rollovers and process annual vacation payouts.
- Participate in year-end payroll training and seminars.
- Monitor changes to payroll legislation and communicate relevant updates to the Director of Finance.
Qualifications & Experience
- Diploma or post-secondary education in Business Administration, Accounting, Bookkeeping, or a related discipline.
- 5+ years of progressive payroll experience.
- Hands-on experience with Ceridian Dayforce is required.
- Experience with Sage 50 Accounting Software.
- Strong Microsoft Excel skills, including VLOOKUPs, SUMIFS, and other formulas - required.
- Payroll Compliance Practitioner (PCP) certification is an asset.
- Strong understanding of Canadian payroll legislation and compliance requirements.
- Experience with both Canadian and U.S. payroll is an asset.
- Strong reconciliation and analytical skills.
- Excellent attention to detail and accuracy.
- Strong organizational skills with the ability to manage deadlines in a high-volume payroll environment.
- A process-improvement mindset with the ability to identify opportunities to improve payroll efficiency and accuracy.
- Strong communication skills and the ability to work effectively with employees, managers, Finance, and external providers.
