Position Overview

The Import Coordinator is responsible for supporting the management of all import-related logistics activities, including coordinating shipments, ensuring compliance with customs regulations, and managing import documentation. This role involves liaising with vendors, customers, and internal teams to facilitate the smooth and timely importation of goods. The Import Coordinator plays a vital role in ensuring that all shipments comply with regulatory requirements while optimizing operational efficiency.

Job Requirements

Key Responsibilities

Shipment Coordination and Documentation Management

Coordinate the receipt of import shipments, ensuring timely processing and release through customs clearance.
Prepare and verify all required import documentation, including customs forms, invoices, packing lists, and bills of lading.
Collaborate with vendors, customs brokers, and internal departments to ensure timely and accurate submission of all documentation required for import clearance.
Monitor the movement of shipments to ensure that goods arrive on time, and resolve any issues related to shipping delays or documentation discrepancies.
Communicate with freight forwarders, customs brokers, and other third-party service providers to track shipment status and manage the flow of goods.

Compliance and Risk Management

Ensure that all import processes comply with relevant laws, regulations, and international trade requirements.
Review and verify the accuracy of tariff codes, valuations, and duty assessments for all imported goods.
Maintain knowledge of the latest changes in customs and import regulations to ensure ongoing compliance.
Work with the compliance team to ensure the correct handling of restricted or controlled goods, including permits and licenses where required.
Help mitigate potential risks by identifying and resolving discrepancies in the import documentation or shipping process.

Vendor and Carrier Management

Liaise with carriers, freight forwarders, and suppliers to ensure that goods are shipped efficiently and in compliance with agreed terms and conditions.
Monitor carrier performance and identify opportunities to optimize shipping costs, reduce lead times, and improve service levels.
Assist in managing relationships with external partners to ensure effective collaboration and problem resolution.
Ensure that carrier documentation and billing align with contractual agreements and verify shipping charges as necessary.

Customer Service and Communication

Serve as the primary point of contact for customers regarding import shipments and documentation.
Provide regular updates to customers on the status of their shipments, any potential delays, and the resolution of any issues that arise.
Assist customers with import-related inquiries and help them navigate customs clearance processes.
Collaborate with the customer service team to address and resolve any issues or concerns related to imported goods.
Ensure a high level of customer satisfaction through clear, effective communication and prompt resolution of any import-related challenges.

Data Entry and Record-Keeping

Accurately enter import data into the company’s logistics management systems, including shipment details, customs entries, and invoices.
Maintain up-to-date records of all import transactions, ensuring that all supporting documentation is filed properly for future reference or audits.
Assist in generating import-related reports, including performance metrics, cost analysis, and shipment status.
Ensure that data is organized and readily accessible for both internal stakeholders and regulatory authorities.

Process Improvement and Efficiency

Monitor and review the import process for potential inefficiencies and suggest improvements to enhance operational effectiveness.
Work with team members to implement best practices for managing import logistics and reducing processing times.
Contribute to continuous improvement efforts to optimize the import workflow, minimize costs, and improve service quality.
Participate in team meetings and collaborate with colleagues to address challenges and share knowledge of import processes.

Problem-Solving and Issue Resolution

Act quickly to resolve any issues that arise during the import process, such as shipment delays, customs hold-ups, or discrepancies in documentation.
Collaborate with internal teams and external parties to resolve problems related to shipping or customs clearance.
Escalate complex issues to the appropriate senior team members for resolution, ensuring timely and effective solutions.
Proactively identify potential risks to the timely clearance of imports and take steps to prevent issues from arising.

Financial and Cost Management

Assist in managing the financial aspects of import shipments, including verifying freight charges, customs duties, and other associated costs.
Monitor cost efficiency by tracking freight rates, customs duties, and other import-related expenses, ensuring that they are in line with the company’s budget and cost objectives.
Support the review of carrier invoices and ensure that charges are accurate and match the agreed terms.

Qualifications And Experience

Education and Licensing

Associate degree in Logistics, Supply Chain Management, Business Administration, or a related field (preferred).
Basic understanding of customs regulations, import procedures, and international shipping requirements (required).
Relevant certifications in logistics, customs brokerage, or freight forwarding (preferred but not required).

Professional Experience

Minimum of 1-2 years of experience in import coordination, logistics, or supply chain management.
Experience with customs documentation, import procedures, and shipping coordination is preferred.
Familiarity with import/export documentation, regulatory compliance, and international shipping.

Skills And Competencies

Strong attention to detail and accuracy in reviewing and managing import documentation.
Excellent organizational and time-management skills, with the ability to handle multiple shipments and meet deadlines.
Strong communication skills, both written and verbal, with the ability to interact with customers, vendors, and internal teams.
Proficiency in logistics software, customs systems, and Microsoft Office Suite (Excel, Word, etc.).
Ability to work both independently and as part of a team, with a proactive approach to problem-solving and customer service.
Strong analytical skills, with the ability to review data, identify issues, and propose solutions.
