Basic Employee Responsibilities

Every Q2 ALS employee is expected to conduct themselves in a professional manner.

Leading by example by following established Quality, Health and Safety policies & procedures.
Showing respect and pride for facilities and equipment.
Being responsible – on time for work and taking breaks during designated times.
Carrying out other tasks from time to time as assigned by a supervisor or request for assistance as needed.

Position Specific Responsibilities

Monitor and action the HR inbox, providing administrative support to the HR and Payroll teams and assisting employees with Dayforce access and password reset requests.
Serve as the first point of contact for visitors by performing front desk duties, welcoming guests, coordinating check-ins, and maintaining visitor safety supplies.
Support recruitment activities by posting job advertisements, monitoring active Canadian and U.S. postings, and ensuring hiring managers are reviewing applications and progressing candidates through the hiring process.
Coordinate incoming and outgoing HR documentation, including opening, distributing, scanning, filing, and maintaining confidential HR and payroll records for Canadian and U.S. operations.
Assist with onboarding activities by preparing new hire packages, supporting onboarding documentation requirements, and following up on incomplete employee benefit enrollments.
Maintain and update employee resources and company information, including the Company Phone List, Dayforce Hub content, and employee contact directories.
Support payroll and benefits administration through the processing and retention of payroll records, preparation of employee benefit invoices, backup support for Flores deposits, and related administrative tasks.
Maintain office and departmental resources, including office supply inventory, promotional items, and vendor coordination.
Assist with compliance and audit activities by maintaining employee records, conducting file audits, tracking work authorization documentation, performing I-9 bi-annual reviews, supporting regulatory reporting requirements, and assisting with internal and external audit requests.
Process required U.S. employee termination reporting through state new hire reporting systems.
Support records management initiatives, including document retention, employee file digitization, and ensuring employee records are complete, accurate, and organized.
Prepare, process, and distribute HR-related reports, invoices, tax documentation, and communications, including monthly vendor invoices and company phone list updates.
Assist with employee engagement initiatives, including recognition programs, birthdays, anniversaries, gift baskets, and special HR projects.
Perform other administrative, HR, payroll, and departmental support duties as assigned to meet business and operational needs.

Required Minimum Qualifications

Post-secondary education in Human Resources, Business Administration, Accounting, or a related field preferred
Minimum 1–3 years of experience in HR, payroll, or an administrative role
Basic understanding of payroll processes and employment standards legislation
Experience with HRIS/payroll systems and proficiency in Microsoft Office, particularly Excel
Strong attention to detail and accuracy in data entry and record-keeping
Effective communication and interpersonal skills with a customer service focus
Strong organizational skills with the ability to manage multiple priorities
Ability to handle confidential information with discretion and professionalism
Ability to work independently and as part of a team in a fast-paced environment

Physical Demands

Prolonged periods of sitting at a desk and working on a computer
Frequent use of hands and fingers for typing, data entry, and operating office equipment
Ability to focus on detailed work for extended periods of time
Occasional standing, walking, or light movement within an office environment
May be required to lift and carry light office materials (up to 10 lbs) such as files or documents
Visual acuity required for reading screens, reviewing documents, and performing data entry with accuracy
Ability to manage tasks in a fast-paced environment with frequent interruptions
