Role: Facilities Coordinator

Role Overview:

Are you the kind of person who loves keeping things organized, solving problems before they become problems, and making sure everyone around you has a great experience?

We're looking for an energetic, resourceful, and people-oriented Facilities Coordinator to help bring our Fredericton office to life.

This is more than an administrative role. You'll be the go-to person for keeping our workplace running smoothly, creating a welcoming environment for employees and visitors, coordinating exciting office events, and making sure the day-to-day details are taken care of.

You'll work with teams across the organization, collaborate with vendors, manage office projects, and have the opportunity to make your mark on our workplace experience.

Key Responsibilities:

Own the Workplace Experience

Be the go-to person for day-to-day office operations, ensuring our Fredericton workplace is welcoming, organized, safe, and running smoothly.
Coordinate office maintenance, housekeeping, security, repairs, and general facility services.
Support a positive employee experience by responding to requests, solving problems, and making things happen.

Make Things Happen

Coordinate office purchases, supplies, equipment, furniture, and services.
Manage vendor relationships and coordinate service providers to ensure quality and timely delivery.
Oversee office equipment, appliances, facilities, and general workplace needs.
Maintain accurate asset inventories and office documentation.

Bring Energy to the Office

Coordinate office events, team activities, internal meetings, conferences, and visitor experiences.
Help create an engaging and collaborative workplace culture.
Support office initiatives that bring employees together and make our workplace a great place to be.

Stay Organized and Find Better Ways to Work

Track facility-related expenses, support budgeting, and prepare monthly reports.
Coordinate office systems, including access control, security, air conditioning, and basic technology needs.
Support laptop setup, basic IT troubleshooting, and office technology requirements.
Identify opportunities to improve office efficiency, service quality, and cost optimization.
Collaborate with internal teams and branch offices to support business needs.

Basic Qualifications:

1–2 years of experience in office administration, facilities coordination, workplace operations, customer service, hospitality, or a related field.
A proactive, energetic, and solutions-oriented approach to work.
Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
Excellent communication and interpersonal skills with a natural ability to build relationships.
Experience coordinating vendors, purchasing, office supplies, events, or service providers.
Proficiency with Google Workspace (Docs, Sheets, and Slides).
Basic IT troubleshooting skills, including laptop setup and office equipment support.
Strong attention to detail and the ability to take ownership of tasks from start to finish.
Ability to work independently while collaborating effectively with internal teams and external partners.
A positive attitude, willingness to learn, and genuine interest in creating an exceptional workplace experience.
