We are seeking a highly trustworthy, detail-oriented Executive Assistant & Bookkeeper to directly support the CEO in managing a portfolio of non-operating companies and personal real estate holdings. This is a unique opportunity for someone who thrives in a confidential, fast-paced environment where responsibilities span both professional and personal domains.

The ideal candidate is organized, resourceful, financially savvy, and enjoys wearing multiple hats while providing exceptional support to a dynamic entrepreneur.

Key Responsibilities

Bookkeeping for Non-Operating Entities

Manage full-cycle bookkeeping using QuickBooks for several low-activity holding corporations and non-operating entities.
Maintain accurate financial records and reconcile accounts.
Prepare reports and ensure all documentation is organized and up to date.
Coordinate with external accountants and other professional advisors as required.

Executive Support to the CEO (Personal & Professional)

Provide high-level administrative support in both business and personal matters.
Manage calendars, appointments, and sensitive correspondence.
Coordinate travel arrangements, expense management, and confidential personal logistics.
Handle special projects and ad hoc requests with discretion and professionalism.

Real Estate & Rental Property Oversight

Monitor lease renewals, rent collections, expenses, and repair schedules for a portfolio of residential rental properties.
Liaise with property managers, contractors, tenants, and insurance providers.
Organize and maintain property-related documents, permits, and compliance materials.
Track key deadlines and ensure properties are managed efficiently

Qualifications

Must-Have Experience

- Minimum 5 years of experience in a hybrid Executive Assistant, Bookkeeper, Family Office Administrator, or similar role.
- Direct experience with QuickBooks and full-cycle bookkeeping.
- Comfortable managing books with minimal day-to-day activity but high standards for accuracy and attention to detail.
- Experience managing multiple real estate properties, either professionally or personally.
- Strong proficiency with Microsoft Office and general administrative systems.

Other language requirements:
- Level of Proficiency Required: Advanced
- Reasons for Language Requirement: Communication with clients, Internal team collaboration, To support operations in another region, Rapport with partners or stakeholders from different cultures

Nous recherchons un(e) assistant(e) de direction et comptable faisant preuve d'une grande fiabilité et d'un sens aigu du détail, afin d'assister directement le PDG dans la gestion d'un portefeuille de sociétés non opérationnelles et de biens immobiliers personnels. Responsabilités principales

Comptabilité des entités non opérationnelles

Gérer le cycle complet de la comptabilité à l'aide de QuickBooks pour plusieurs sociétés de portefeuille à faible activité et entités non opérationnelles.
Tenir des registres financiers précis et effectuer le rapprochement des comptes.
Préparer des rapports et veiller à ce que toute la documentation soit organisée et à jour.
Assurer la coordination avec les comptables externes et autres conseillers professionnels, selon les besoins.

Assistance de direction au PDG (sur le plan personnel et professionnel)

Fournir un soutien administratif de haut niveau tant pour les questions professionnelles que personnelles.
Gérer les agendas, les rendez-vous et la correspondance sensible.
Coordonner l'organisation des déplacements, la gestion des dépenses et la logistique personnelle confidentielle.
Gérer les projets spéciaux et les demandes ponctuelles avec discrétion et professionnalisme.

Supervision des biens immobiliers et des biens locatifs

Suivre les renouvellements de baux, les encaissements de loyers, les dépenses et les calendriers de travaux pour un portefeuille de biens immobiliers résidentiels destinés à la location.
Assurer la liaison avec les gestionnaires immobiliers, les entrepreneurs, les locataires et les assureurs.
Organiser et tenir à jour les documents relatifs aux biens immobiliers, les permis et les dossiers de conformité.
Assurer le suivi des échéances clés et veiller à ce que les biens soient gérés efficacement.

Qualifications

Expérience requise

Au moins 5 ans d'expérience dans un poste hybride d'assistant(e) de direction, de comptable, d'administrateur de family office ou un poste similaire.
Expérience directe avec QuickBooks et la comptabilité en cycle complet.
Aisance dans la gestion comptable avec un volume d'activité quotidien minimal, mais des exigences élevées en matière de précision et de souci du détail.
Expérience dans la gestion de plusieurs biens immobiliers, à titre professionnel ou personnel.
Maîtrise approfondie de Microsoft Office et des systèmes administratifs généraux.

Autres exigences linguistiques :

- Niveau de maîtrise requis : Avancé
- Justification de l'exigence linguistique : Communication avec les clients, collaboration au sein de l'équipe interne, soutien aux opérations dans une autre région, établissement de relations avec des partenaires ou des parties prenantes issues de cultures différentes
