Original job description

Title: Information Management Analyst

Term: ASAP - March 17th/27

Location: Hybrid 3-5 days

Clearance: Eligible for Reliability (Must be living in Canada at least for 5 years)

Objective

Provide senior-level information management services to help business and IT teams manage information assets throughout their lifecycle. The consultant will translate information-management requirements into practical governance, policies, processes, tools and implementation plans.

The initial assignment will focus on coordinating and developing information-sharing agreements between parliamentary partners.

Key Responsibilities

Conduct research, interviews, workshops and current-state assessments.
Gather and document business, information, governance, privacy, security and compliance requirements.
Identify information risks, gaps and dependencies and recommend practical mitigation measures.
Support information stewardship by defining roles, ownership, access requirements and accountability.
Develop and improve policies, standards, procedures, templates, guidance and governance tools.
Support information classification, access, sharing, retention, disposition, preservation and archiving.
Prepare information-management deliverables, including information-sharing agreements, sensitivity statements, privacy impact assessments and risk assessments.
Assess information-management requirements for Microsoft 365, SharePoint Online, collaboration sites, portals and business applications.
Define information architecture, metadata, classification, search, retention and governance requirements.
Support solution validation, testing, implementation and operational readiness.
Facilitate stakeholder meetings and communicate complex information-management concepts in clear business language.
Support communications, training, onboarding and adoption.
Prepare briefing notes, options analyses, dashboards, presentations, roadmaps and implementation plans.
Maintain work plans, schedules, deliverable trackers and regular progress reporting.

Mandatory Qualifications

10+ years of experience in information analysis, information or records management, business analysis, or a related field.
Experience developing information-management governance, policies, standards, procedures and guidance.
Experience developing information-sharing agreements.
Knowledge of information lifecycle management, including classification, access, retention, disposition, preservation and archiving.
Experience gathering requirements, assessing current and future states, identifying risks and recommending solutions.
Experience with Microsoft 365 and SharePoint Online in an information-management environment.
Strong stakeholder-management and facilitation skills across business, technical, privacy, security, legal and executive teams.
Ability to prepare reports, executive briefings, presentations, roadmaps, templates and implementation tools.
Strong written and verbal communication skills.

Asset Qualifications

Experience in public-sector, parliamentary, regulated or security-sensitive environments.
Experience with information stewardship or data governance.
Experience developing retention schedules, disposition processes or archival-transfer arrangements.
Experience conducting information risk, privacy, security or compliance assessments.
Relevant certification or graduate education.
Bilingual in English and French.
