Administrator of Operations (Materials)

Tomlinson is currently seeking an Operations Administrator for a contract role. Reporting to the Manager, the incumbent will play a key role in supporting operational activities through document control, record keeping, data management, and administrative coordination. The successful candidate will assist with reporting, purchasing processes, meeting administration, and maintaining accurate project documentation while ensuring compliance with company procedures and standards.

Location: 100 Citigate Drive, Ottawa, ON

Vacancy Type: Replacement

DUTIES & RESPONSIBILITIES:

Prepare correspondence, reports, statements, forms, presentations, applications and other documents
Provide general information to staff regarding company or program rules, regulations and procedures
Photocopy and collate documents for distribution, mailing and filing
Sort and file documents according to established filing systems and/or document control (SharePoint), locate and retrieve documents from files as requested and maintain records of filed and removed materials, archiving materials and scanning files
Maintain and prepare reports
Assist with administrative procedures such as creating purchase order and work orders
May sort, process and verify receipts, expenditures, forms and other documents
Log and file Ministry ordnances and site instructions etc.
Download and file site photos and distribute as directed
Assist Manager with meetings, prepare agendas and meeting minutes
Data entry
Maintain equipment inventory

REQUIREMENTS:

College administrative diploma or related field
Proficient in MS Office
Previous SAP experience is an asset
Valid driver’s license

WORKING CONDITIONS:

Working conditions are normal for an office environment
May require occasional site visits

COMPENSATION INFORMATION:

The expected range for this position is $47,000 - $65,000 annually. Placement within the range is dependent on a variety of factors including qualifications and experience.
