How does the role impact the organization?
Velocity Investment Partners (VIP) is seeking an experienced, highly organized Client Service Assistant to join our growing team.
This is not a traditional administrative role. We are looking for a dynamic professional who thrives in a high-performance, fast-paced environment, can manage multiple priorities simultaneously, and understands the level of responsiveness, discretion and attention to detail required when working with high-net-worth families.
What is the position responsible for?
- Deliver a high-touch client experience by acting as a key point of contact, responding to inquiries, coordinating requests, and supporting client onboarding and communications;
- Prepare for client review meetings by gathering account information, portfolio materials, financial planning documentation, and creating agendas and presentation materials;
- Maintain accurate Salesforce/CRM records, document meeting notes and action items, and coordinate timely follow-up on client requests and commitments;
- Assist with account openings, transfers, contributions, withdrawals, and registered account administration while ensuring documentation and compliance requirements are completed accurately;
- Support Advisors with portfolio reporting, account reviews, and investment administration activities;
- Coordinate the collection of information required for financial planning activities and liaise with clients and external professionals, including accountants, lawyers, and insurance specialists;
- Coordinate Advisor schedules, client review cycles, and service commitments while managing competing priorities in a fast-paced environment;
- Support process improvement initiatives and maintain procedures, templates, and documentation to promote operational efficiency and consistency; and
- Take ownership of special projects and other client service or operational initiatives as required.

What do we expect from you?
- Understanding of investment accounts, registered plans, investment products, and wealth management concepts, or a strong interest in developing expertise in these areas;
- Experience delivering high-quality client service, preferably within financial services, wealth management, banking, or a professional services environment;
- Strong written and verbal communication skills, with the professionalism and confidence to interact with clients, Advisors, and external professionals;
- Demonstrated ability to handle confidential and sensitive information with discretion and sound judgment;
- Exceptional organizational, prioritization, and problem-solving skills, with the ability to manage multiple priorities in a fast-paced environment;
- Meticulous attention to detail and commitment to accuracy;
- Strong technology skills, including Microsoft Office and CRM systems; Salesforce experience is considered an asset; and
- Proactive, collaborative, and self-motivated, with a willingness to learn, take ownership of responsibilities, and contribute to a positive client and team experience.
Education and Experience
- Minimum 2 year of administrative experience in the financial services industry; and
- Post-secondary education, preferably in finance or a related discipline.
Licenses and Certifications
- CIRO licensed is an asset, or willingness to obtain within 6 months.

Salary Range: $45,000 - 55,000 annually, in addition to competitive performance bonuses/incentives.
Actual compensation will be determined based on skills, experience, internal equity, and other job requirements.
