What is the opportunity?
RBC Family Office Services assists clients in creating comprehensive financial plans and estate planning strategies. The Administrative Assistant will provide administrative support to several Senior Leaders of Family Office Services (VP of Will and Estate Consultants, Director Will & Estate Planning , VP of Financial Planning Western Region, and Senior Director, Retirement Transitions).

What will you do?

Executive & Administrative Support

Provide administrative support to VP and director-level leadership
Manage calendars, bookings, vacation tracking, and expense approvals
Onboard new hires with system access, equipment, and policy orientation
Coordinate premises support (passes, maintenance, supplies, moves)

Reporting & Compliance

Generate booking capacity, fiscal year-end, WealthTracker, and DHR reports
Support VP and teams with compliance reviews
Monitor appointment and insurance reports for missed opportunities

Operations & Procedures

Manage WEC shared drives, access controls, and document archiving
Track professional development and departmental costs for budgeting/audit
Provide guidance on equipment orders, letters, HR, meetings, and expenses
Direct staff to appropriate departments for technical support and process MyMarketplace requests

What do you need to succeed?
Must have:

A minimum of two years of experience in a similar position in the financial industry
Strong working knowledge of Microsoft Office
Effective written, verbal and electronic communication skills
Self-motivated and able to work with minimal supervision
Demonstrates strong collaboration skills and actively contributes as a valued team member

Nice to have:

Ability to work under pressure to meet deadlines
Good attention to detail
Strong time management skills
