The Receptionist is a full-time, on-site role based in Woodbridge, ON. This position is responsible for greeting visitors, managing incoming calls, directing inquiries to the appropriate team members, and providing a professional first point of contact for clients and partners. Day-to-day duties include scanning incoming mail into a BMS system, handling physical mail and deliveries, maintaining a tidy reception area, and performing general clerical tasks such as data entry, stock and supply refill, and document preparation. The Receptionist will support office operations by coordinating meeting rooms, assisting with administrative requests, and ensuring information is communicated clearly and promptly. This role requires consistent professionalism, confidentiality, and a strong customer service mindset.

Qualifications

Strong Phone Etiquette and ability to manage multi-line phone systems professionally.
Proficiency in core Receptionist Duties, including greeting visitors, directing inquiries, and managing front-desk operations.
Solid Clerical Skills, such as data entry, filing, scheduling, and basic document preparation.
Effective Communication skills, both verbal and written, with the ability to interact clearly and respectfully with diverse stakeholders.
Excellent Customer Service skills, demonstrating patience, empathy, and problem-solving when assisting clients and colleagues.
Comfort with common office software (e.g., MS Office, email and calendar tools) and willingness to learn new systems.
Strong organizational skills, attention to detail, and ability to manage multiple tasks in a fast-paced environment.
Previous experience in a receptionist, front desk, or administrative role is an asset; experience in insurance or professional services is beneficial.
College diploma or equivalent required; post-secondary education in business administration or a related field is an advantage.
Languages - English, Italian and Portuguese would be an asset
