Original job description

Client Experience Coordinator

Re-juvenation Cosmedical Injectables & Laser

Downtown Georgetown, Ontario | Full time, in clinic

ABOUT RE-JUVENATION

Re-juvenation Cosmedical Injectables & Laser is an established aesthetic medicine clinic on Main Street in downtown Georgetown. Founded and led by a registered nurse, the clinic offers neuromodulators, dermal filler, laser and skin resurfacing treatments, and medical grade skincare, all delivered to a clinical standard.

We are a busy practice with a reputation built on professionalism, precision, and results. Our team remains current with advancements in aesthetic medicine so that the care we provide reflects the leading standard in the field.

What distinguishes Re-juvenation is the relationship we hold with our clients. Many have trusted us with their care for years and continue to return because they are known here, listened to, and treated to a consistent standard on every visit. Protecting those relationships is central to every role in the clinic and is at the heart of this position.

POSITION OVERVIEW

The Client Experience Coordinator is the front facing representative of the clinic. This role is responsible for creating an exceptional experience for every client, supporting the daily operations of the clinic, and contributing directly to the growth of the practice through sales, rebooking, and consistent follow up with clients and new inquiries.

It is a varied and engaging position well suited to someone who enjoys working closely with people, takes pride in staying organized, and is confident guiding clients toward the treatments that are right for them.

KEY RESPONSIBILITIES

Client Experience

Welcome every client and set the tone for their visit. Manage the flow of the day so that appointments run on schedule. Speak knowledgeably about our treatments and skincare lines. Ensure that each client leaves feeling well cared for.

Sales and Rebooking

Present treatment plans, packages, and homecare recommendations. Explain the value of each option clearly and answer client questions with confidence. Rebook clients at the front desk before they leave and track rebooking results.

Lead and Client Follow Up

Respond to inquiries from phone, email, social media platforms, and the website in a timely and professional manner. Maintain an organized follow up list for consultations that have not yet booked, clients who have not returned recently, and treatment packages still to be scheduled.

Clinic Operations and Organization

Complete daily opening and closing procedures. Maintain an accurate and well managed schedule. Oversee inventory and reordering of products and supplies. Maintain client records in Jane with accuracy and confidentiality. Keep the clinic clean, organized, and presentable, and support the clinical team so that treatment days run smoothly.

WHAT WE ARE LOOKING FOR

Two or more years of experience in a client facing role with responsibility for booking, sales, or client retention. Backgrounds in aesthetics, dental, hospitality, and luxury retail are all welcome.

Confidence in recommending treatments and products, and comfort in guiding a client toward a booking.

Strong follow up habits and the ability to manage outstanding client contacts independently.

Excellent organizational skills and the ability to stay composed during busy periods.

A high standard of professionalism and discretion in a medical setting.

Comfort with scheduling and records software. Experience with Jane and HubSpot is an asset.

Reliability & Attendance: Exceptional reliability and consistent punctuality are essential, as this role is responsible for opening the clinic and ensuring the front desk is ready for the start of the day.

Ability to reliably commute to our downtown Georgetown location and arrive on time for scheduled shifts.

SCHEDULE

8-hour shifts
Monday to Friday
Mix of morning and evening shifts
Weekend availability as needed
Flexibility to accommodate the clinic’s operating schedule

COMPENSATION

Approximately $43,000 - $52,000 per year based on experience.

This position also includes a number of additional benefits and team perks, which will be reviewed in detail during the interview process.
