Original job description

Our client in the public sector is seeking a Senior Information Management Analyst to support the continued evolution of its enterprise Information Management (IM) program. The consultant will provide senior-level expertise across information governance, stewardship, lifecycle management, policy, information sharing, risk and compliance.

Location: Hybrid 3 - 4d/week in office (Ottawa)

Duration: 6 months to start

Key Responsibilities

Conduct current-state assessments, stakeholder interviews, workshops, requirements analysis and gap assessments.
Develop and coordinate Information Sharing Agreements between internal and external parties.
Develop and enhance IM policies, standards, procedures, guidelines, protocols, templates and operational tools.
Support information governance and stewardship models, including roles, accountabilities and decision rights.
Define requirements across the information lifecycle, including creation, classification, access, sharing, retention, disposition, preservation, transfer and archiving.
Support business and technology teams with IM artifacts including Statements of Sensitivity, Privacy Impact Assessments, Information Sharing Agreements and information/risk assessments.
Identify information risks, compliance gaps and dependencies and recommend practical mitigation strategies.
Develop retention and disposition processes, schedules, controls and supporting guidance.
Assess IM requirements for Microsoft 365, SharePoint Online, collaboration environments, portals and business applications.
Define information architecture, metadata, classification, access, search, retention and governance requirements.
Develop risk registers, compliance measures, KPIs and maturity measures.
Facilitate workshops with business, IM, privacy, security, legal and technology stakeholders.
Prepare executive briefings, options analyses, presentations, roadmaps and implementation plans.
Support communications, training, awareness and adoption activities.

Requirements

10+ years of experience in information management, records management, information analysis, business analysis or a closely related discipline.
Demonstrated experience developing and implementing IM governance, policies, standards, procedures and operational guidance within a complex organization.
Demonstrated experience developing Information Sharing Agreements between organizations or parties.
Strong knowledge of the complete information lifecycle, including classification, access, retention, disposition, preservation, transfer and archiving.
Experience conducting current/future-state analysis, requirements gathering, gap analysis and risk assessments.
Experience with Microsoft 365 and SharePoint Online in an information management/governance context.
Experience working across IM, privacy, security, legal, compliance, business and technology teams.
Strong stakeholder facilitation skills, including experience working with senior management.
Experience producing executive briefings, analytical reports, roadmaps, presentations, templates and implementation tools.
Excellent written and verbal communication skills.

Preferred / Asset Qualifications

Experience within government, broader public sector, regulated or security-sensitive organizations.
Experience implementing information stewardship or data governance models.
Experience developing retention schedules, disposition processes or archival transfer arrangements.
Experience conducting privacy, security, information risk or compliance assessments.
Experience preparing or contributing to Privacy Impact Assessments (PIAs) and Statements of Sensitivity.
Professional certification or graduate education in Information Management, Records Management, Archival Studies, Library & Information Science, Business Analysis, Data Governance or a related field.
Bilingual English/French capability.
